Overview






This is an administrative position focused on service dispatching with additional cross-training in administrative support functions. This role primarily supports dispatch operations but will flex between responsibilities based on business needs, including credits/debits processing and general administrative tasks.









Responsibilities






Essential Duties and Responsibilities:

  • Daily reporting of dispatches.
  • For specific customers, call stores to qualify service issues and dispatch service companies.
  • Enter dispatched calls into Service Call Tracking and Serial Number Inquiry software.
  • Follow up on parts orders in WHAM and JDE software.
  • Follow up with service companies confirming job completions.
  • Enter dispatch information into customers’ databases.
  • Ensure timely communication between customers, service companies, and internal teams.
  • Maintain accurate records of open and completed dispatches.
  • Process credit and rebills.
  • Provide administrative support to the Warranty Department for miscellaneous tasks.
  • The Warranty Dispatcher is an office-based role. Regular, predictable on-site attendance is required. Eligibility for up to one (1) remote workday per week may be permitted, subject to business needs and departmental guidelines.
  • Perform core job responsibilities through regular in-person collaboration, including participation in meetings, team discussions, and cross-functional coordination.
  • Collaborate with fellow team members and leadership in a shared work environment to support innovation and timely decision-making, problem-solving, and operational effectiveness.
  • Maintain a consistent on-site presence to support and respond to day-to-day business needs, including attendance of scheduled meetings and real-time collaboration as needed to ensure alignment on department and company priorities.  
  • Meet regularly with manager in-person to align on workload, priorities, performance, and ongoing professional development.








Qualifications






  • High School diploma or general education degree (GED) required.
  • Dispatching experience a plus.
  • Possess strong verbal and written communication skills.
  • Must be well organized and self-motivated.
  • Must have the ability to work in a fast-paced environment.
  • Proficient in Microsoft Office applications. 
  • Comfortable making numerous calls in one day to end users and service companies.
  • Ability to work in a team-oriented environment with a positive, professional attitude.

The hours for this position are 7:30am - 4:00pm, Monday through Friday.
