Job Description - Welcome Center Desk Staff (Full-Time, Non-Exempt)

Description

Do you have experience with secretarial and clerical support in a Child Development Program environment? If so, the YMCA of Central Massachusetts Tri-Community Branch - Sarah & Richard Hardy Center for Child Development encourages you to apply to this position!.   

 

Essential Functions:

  • Greets children, families, visitors as well as monitors the YMCA Child Development Center’s main entrance.
  • Manages the clerical workload, including but not limited to answering phones, taking messages, typing and transcribing reports/forms, making copies, general filing.
  • In conjunction with the Early Learning Program Supervisor, is responsible for maintaining children’s files in accordance with EEC licensing standards and keeping the Child Records Checklist up to date and current with all required documents and dates. 
  • Ensures that the Emergency Binder is up to date.
  • Documents and reports any building maintenance needs including contacting outside services (i.e. Plow company, pest control, etc.)
  • In conjunction with the Billing and Administrative Coordinator, takes payments and provides receipts to families.
  • Creates documents to meet the needs of the office using WORD, EXCEL, and POWERPOINT; maintains an up to date catalog of required agency forms.
  • With guidance from the Early Learning Executive Director, prints, distributes and posts weekly menus, distributes monthly point of service tracking sheets, collects monthly point of service tracking sheets and assists in collecting, entering and filing all CACFP required data.
  • Uses creativity to create a warm and inviting décor that accentuates the mission and overall goal of the YMCA and the Child Development Programs.
  • Additional duties as required and assigned by a supervisor to support the overall mission of the YMCA and to ensure the success of the Child Care Department. 

Qualifications:

  • At least 18 years of age with High School Diploma, Associate’s Degree or higher preferred.
  • Minimum 2 years experience in secretarial or clerical work.
  • Intermediate knowledge of Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint.
  • Strong verbal and written communication skills. 
  • Ability to multi-task and work well under pressure. Very organized and detail oriented. 
  • Previous experience with diverse populations. Ability to develop positive, authentic relationships with people from different backgrounds.
  • Ability to speak Spanish in addition to English may be helpful.

Job Type: Full-Time (Non-Exempt)

Schedule: 40hrs per week, Monday-Friday from 8:45am - 5:15pm 

Pay: $20.00/hour with a full benefit package to include, generous PTO, access to facilities, Medical, Dental, Disability, Life, Vision, & Pet Insurance, and ability to participate 403B Retirement Savings Plan. Also, once fully vested, the YMCA will pay into a retirement account for you!
