Job Description - Workplace Operations & Facilities Manager


About the Institute of Foundation Models

We are a dedicated research lab for building, understanding, using, and risk-managing foundation models. Our mandate is to advance research, nurture the next generation of AI builders, and drive transformative contributions to a knowledge-driven economy.

 

As part of our team, you’ll have the opportunity to work on the core of cutting-edge foundation model training, alongside world-class researchers, data scientists, and engineers, tackling the most fundamental and impactful challenges in AI development. You will participate in the development of groundbreaking AI solutions that have the potential to reshape entire industries. Strategic and innovative problem-solving skills will be instrumental in establishing MBZUAI as a global hub for high-performance computing in deep learning, driving impactful discoveries that inspire the next generation of AI pioneers.

 


The Role


This is a unique hybrid role designed for a versatile leader who can manage the transition to a new, larger office space and subsequently lead its long-term operations.


 


Phase 1: Project Lead (Relocation & Build-Out)


In the first phase, you will serve as the central point of contact for our office expansion. You will act as the "Lab’s Representative," ensuring our research lab is technically and physically equipped for our growing team.


 


Phase 2: Facilities Governor (Long-term Operations)


Once the move is complete, you will transition into the primary steward of our expanded headquarters. You will be responsible for the ongoing maintenance, safety, and ensuring our environment remains a world-class hub for innovation.


 


Key Responsibilities




  • Construction & Infrastructure Oversight: Partner with architects, General Contractors, and IT teams to ensure the build-out meets functional needs, including server rooms, high-speed wiring, AV systems, and security access controls.




  • Vendor & Budget Management: Source, vet, and manage contracts for movers, furniture suppliers (FF&E), and specialized equipment installers. Track expenses against the relocation budget and manage Tenant Improvement (TI) claims.




  • Hard Facilities Management: Oversee the maintenance and optimization of HVAC, plumbing, and electrical systems. Manage Building Automation Systems (BAS) for lighting, climate control, and energy efficiency.




  • Workplace Experience: Work closely with HR Ops to lead securing janitorial services vendors, office snack/supply logistics, and internal event setups to maintain a high-quality daily environment for the team.




  • Security & Safety: Act as the primary Safety Officer; implement fire life safety plans and emergency protocols while ensuring strict OSHA compliance.




  • Space Utilization: Monitor how the new space is used as the team scales; propose and execute on data-driven reconfigurations to optimize collaboration.




Requirements




  • 5+ years of experience in Facilities Management, Operations, or Construction Project Management, with a proven track record of leading commercial office relocations.




  • Technical Proficiency: Ability to read floor plans and blueprints; solid understanding of MEP (Mechanical, Electrical, Plumbing) and IT/AV infrastructure requirements.




  • Vendor Leadership: Demonstrated ability to manage complex multi-vendor environments and hold contractors to strict deliverables and timelines.




  • Communication: Strong negotiation skills and the ability to act as a bridge between technical contractors and executive leadership.




  • Adaptability: Comfortable shifting from a high-intensity project management phase into a steady-state operational leadership role.




  • Local Presence: This role is based on-site at our Sunnyvale, CA location.





 

$115,000 - $145,000 a year
