We’re partnering with some of the largest pharmacy benefit managers and payers in the nation, revolutionizing how healthcare interactions occur by eliminating human delays and inefficiencies. Our small, elite team of founders and engineers have previously launched and exited successful healthcare startups including Rupa Health and Canvas Medical. We are now scaling rapidly following a major funding round.
We are looking for a roll‑up‑your‑sleeves Workplace Operations Lead to own every aspect of our brand‑new 4 000 sq ft Menlo Park headquarters. As employee #6 you will build systems that scale from a five‑person engineering‑heavy team to a 20‑person, multi‑function startup over the next 18 months, creating a safe, productive, and fun environment that amplifies our culture.
Set up the space for growth – Finalise floor plan, procure furniture for current footprint plus ≥ 10 swing desks; deliver fit‑out on time & ≤ 5 % over budget.
Create zero‑friction daily ops – Implement reception, mail, IT asset, and supply processes with response‑time SLAs ≤ 2 hrs.
Vendor ecosystem – Source & contract janitorial, snack / beverage, plant care, HVAC; negotiate terms that save ≥ 10 % vs. benchmarks.
Workplace culture routines – Launch daily team lunch, monthly Demo Day, and birthday shout‑outs; achieve ≥ 90 % participation.
Budget visibility – Stand‑up a lightweight spend dashboard in Google Sheets; first‑month reconciliation within three business days of close.
Space‑planning & expansion – forecast seat demand, lead any sublet discussions or build‑outs.
Safety & risk – fire/life‑safety drills, OSHA ergonomics, and annual insurance walk‑through.
Hybrid‑work optimisation – pilot desk‑reservation tool, AV upgrades, and team‑offsite logistics.
Sustainability & ESG – recycling program, preferred‑supplier policy, quarterly reporting to leadership.
3–5 years hands‑on office / facilities management in a 20‑100 person tech or life‑science company; experience opening a new site is a plus.
Demonstrated vendor‑sourcing & contract‑negotiation skills and budget ownership ≥ $200 k.
Comfort with G‑Workspace / Slack, ticketing tools (Linear, Jira, Zendesk, or similar), and basic IT triage.
An “I’ve‑got‑it” service mindset paired with the ability to think one phase ahead.
Previous Menlo‑Park or Peninsula facilities experience (local permitting / service‑provider network).
Exposure to start‑up security stack (e.g., OpenPath, Verkada, or similar).
Passion for sustainability and green‑office certifications.
