Job Description - Workplace Plan Provision Specialist
As a Workplace Plan Provision Specialist, you'll lead the end-to-end configuration of retirement plan systems, translating plan design into compliant, high-quality system solutions. Partnering closely with clients and internal teams, you'll navigate complexity with confidence, proactively manage risk, and deliver reliable outcomes-ensuring a seamless experience through clear communication, precision, and expert execution.
Responsibilities
Leads the review and interpretation of client plan documents, translating provisions into clear system and service requirements while ensuring compliance with ERISA and internal policies.
Designs, configures, and implements system setup across all relevant platforms, applying deep expertise to support complex implementations and ownership of the setup project plan, timeline, and execution.
Partners closely with clients and internal stakeholders to position system capabilities, gather requirements, manage change requests, resolve issues, and provide clear, proactive project updates to ensure expectations are met.
Oversees intake and prioritization of system setup and change requests, ensuring timely, accurate completion and adherence to service standards.
Identifies risks and resolves issues collaboratively, applying sound judgment to balance compliance, client needs, and operational efficiency.
Reviews transaction- and service-related participant communications, partnering with Participant Education to ensure accuracy, clarity, and alignment with plan design and system setup.
Ensures accuracy and audit readiness through thorough documentation, quality checks, and adherence to established control and validation processes.
Contributes to continuous improvement by providing feedback on system lead processes and recommending enhancements to tools, workflows, and execution models.
Demonstrates leadership by supporting peers through knowledge sharing, issue resolution, and training.
Participates in special initiatives and additional assignments in support of broader business objectives.
Qualifications
Undergraduate degree or equivalent combination of training and experience
Three to five years business experience plus minimum of 18 months of Defined Contribution recordkeeping or conversion experience
Extensive knowledge of Workplace Solutions systems
Solid understanding of ERISA
Extensive project management experience
Minimum one year experience and proficiency with establishing and testing plans on Vanguard's Workplace Solutions systems
Excellent oral and written communication skills.
