Worship Services Coordinator

PURPOSE OF THIS POSITION
The Music, Worship, and Prayer teams all seek to advance and support this vision through the preparation and leading of worship services and gatherings that (through preaching, music, worship and prayer) glorify God and draw others to do the same
The Worship Services Coordinator supports the Pastor of Prayer and Worship and the Music Department in the oversight of all logistical planning of multiple types of worship services. This role ensures that all worship services are seamlessly planned, organized, and implemented allowing the congregation to fully engage in worship
DESIRED RESULTS OF THIS POSITION
· Music, Worship, and Prayer teams are highly organized and efficient
· Effective administrative processes are developed and maintained in all aspects of the worship services and music of HP Pres
· A spirit of care and collaboration across teams and with other ministries at HP Pres is furthered
· Pastors and Directors are freed to have greater focus on leading, developing and caring for their teams and improving their craft
KEY RESPONSIBILITIES
· Highly organized, this person oversees scheduling and logistical preparation for the practical implementation of all 4 weekly worship services + special services (All Saints, Ash Wednesday, Maundy Thursday, Good Friday, Easter & Christmas Eve), weddings, funerals, prayer gatherings, choir rehearsals, and concerts at HP Pres
· Lead team member for populating details and scrutinizing all printed Orders of Worship
· Coordinating with Calendar, Production, and Facilities teams to ensure all event set ups are scheduled in The HUB (Church Community Builder) and other platforms we use
· Providing administrative support to the Pastor of Worship as well as the Director of Music and Director of Congregational Care where needed
· Supporting the Care Department as a regular service coordinator for funeral services
· Manages department purchasing and payment for musicians, singers and contractors
· Partners with Connections Department to provide direction and support to volunteers, ensuring they are cleared to serve through our volunteer screening and onboarding process.
· In partnership with Pastor and Directors, develop and implement plans to recruit, train, and retain volunteers for all services, music teams, choirs and prayer teams. This will also involve partnering with our Connections Department to ensure all volunteer processes are integrated and effective.
· In partnership with Pastor of Worship and Prayer, create operational expectations for Music, Worship, and Prayer that includes ongoing training for our office platforms
· Participate in all weekly chapel and staff meetings and necessary trainings and events
EDUCATION, EXPERIENCE, AND SKILL REQUIREMENTS
· Education: High School Diploma or higher, some formal music training an advantage
· Experience: >3 years in an administration role preferably in worship planning. Familiarity with protestant church tradition and liturgy preferred
· Skills: Strong organizational and administrative skills, with a keen attention to detail. Excellent interpersonal and communication skills, with the ability to work collaboratively with staff, lay leaders, volunteers, contractors and musicians. Maintains a positive, can-do attitude
· IT Skills: Planning Center Online, Microsoft office, financial management, database management, ProPresenter etc.
