Job Description - Youth Secretary

Position Summary


Provides administrative and event support for Family & Children’s Ministries and Youth & Young Adult Ministries. Assists with daily office operations, communication, financial paperwork, program coordination, and special events.



Essential Duties and Responsibilities





Administrative Support



  • Greet visitors, answer telephone calls, and direct questions to the appropriate person.

  • Prepare, process, organize, and file department correspondence and records.

  • Prepare materials for meetings, workshops, programs, and events.

  • Communicate with pastors, ministry leaders, participants, speakers, guests, and volunteers.

  • Maintain department equipment and supply inventory, including reservations and distribution.

  • Provide updated ministry information for the website.

  • Prepare and distribute promotional materials.

  • Review youth volunteer applications and provide information to the Youth Director.



Financial Support



  • Prepare reimbursement and honorarium payment requests promptly.

  • Prepare church billing for programs such as VBS workshops, One Life, and Growing Together.

  • Coordinate youth assistant subsidy payments with churches.

  • Submit collected funds to Treasury and ensure they are credited to the correct accounts.



Program and Event Support



  • Assist with programs and events, including Jr. High Bible Camp, VBS training, One Life, and Growing Together Sabbath School.

  • Participate in ministry and event-planning meetings.

  • Help secure event locations and coordinate food, lodging, equipment, supplies, and rentals.

  • Coordinate event registration and site preparation.

  • Provide direction and support to volunteers during events.

  • Perform other related duties as assigned.



Qualifications



  • Associate degree from an accredited college preferred.

  • Two to three years of administrative or secretarial experience preferred.

  • Ability to communicate clearly and professionally in writing and conversation.

  • Strong organizational, customer-service, and problem-solving skills.

  • Ability to work independently, follow instructions, manage multiple priorities, and meet deadlines.

  • Comfortable working with students, church leaders, volunteers, and culturally diverse groups.

  • Demonstrated leadership skills and spiritual commitment.

  • Regular and reliable attendance is required.



Computer Skills



  • Proficiency with Microsoft Word, Excel, Adobe programs, and other standard office software.

  • Experience with Photoshop and InDesign is helpful.

  • Typing speed of approximately 50 words per minute preferred.



Work Schedule and Travel


Occasional travel and evening or weekend work may be required for ministry programs and events.



Physical Requirements


The employee regularly sits, stands, walks, uses a computer, communicates with others, and reaches with their hands and arms. The employee may occasionally bend, kneel, climb, or lift and move items weighing up to 25 pounds.




Work Environment


The position generally works in an office environment with a moderate noise level. Event locations and working conditions may vary.
