Job Description - Youth Services Assistant

Organization Description 


Artists ReEnvisioning Tomorrow Inc (ART Inc), founded in 2018 by Jonathon and Nikki Romain, is Peoria’s foremost arts and culture non-profit organization. ART Inc provides arts education opportunities to nearly 500 students each year. The staff, board, volunteers, and teaching artists of ART Inc work tirelessly to generate programs for all students to imagine, create, and realize their full potential through the arts, regardless of their ability to pay.  


  


Purpose 


The Youth Services Assistant rovides program assistance, administrative support, front-line customer service, and event coordination in support of the student experience at ART Inc.  The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. Bi-lingual (English/Spanish) preferred 


 
 


Duties and Responsibilities

  • Welcomes guests and program participants by greeting them, in person or on the telephone, answering or directing inquiries as well as provide tours.  

  • Form positive and impactful relationships with parents and program participants; know names and preferences/needs of families and students we serve.  



  • Attends all staff meetings, department meetings, and any other meetings as required. Compiles, transcribes, and distributes notes and minutes of meetings. 

  • Answer phones and program inquiry calls. 

  • Communicates and sends correspondence to teaching artists, staff, community partners, and students on behalf of the Program Director. 

  • Coordinates documentation and communication of program policies, procedures, and outcomes.  

  • Assist with incident and communication reports. 



  • Assist with administrative requests for data, records, and reports. 

  • Performs any clerical duty, research, or program task as assigned in a continuously changing and growing nonprofit organization. 

  • Assisting Program Director with grant reports and maintaining files to meet grant requirements.  

  • Assisting with taking stock of office and program supplies.  



  • Maintains the strictest confidentiality. 

  • Other duties as assigned  


  


Qualifications:  



  • Minimum two years related experience; nonprofit experience a plus.  



  • Strong attention to detail and ability to work independently and take initiative  

  • Excellent organizational and time management skills  

  • Excellent written and verbal communication skills  

  • Skilled in the use of QuickBooks Online, Microsoft Office 365, OneDrive, and Excel  

  • Ability to develop effective work plans, organize details, set priorities, and meet deadlines.

Supervisor Relationship:  


The person designated to provide supervision of the Youth Services Assistant and from whom the Youth Services Assistant takes direction in all matters related to carrying out the duties and responsibilities described in this position description is the Program Director.  


  


Work Environment:  


This position is primarily at The Romain Arts & Culture Center (The RACC), with the possibility of independent travel to approximately 5 Peoria Public School locations as well as other local organizations for events.   


  


Mental and Physical Requirements:  


Physical effort is light, with lifting or carrying limited to 25 pounds intermittently as well as walking up and down stairs. Occasionally, there is pressure associated with project or activity deadlines.
