Job Description - PBX Operator

The La Jolla Beach & Tennis Club is currently seeking a PBX Operator to join our team at our beautiful oceanfront property!

Schedule varies. Must be available weekends and holidays

Pay: $20.50/hour

SUMMARY

Functions as the central communications link for the entire property by relaying incoming, outgoing, and interoffice calls and messages. Promotes and follows LJBTC, Inc.'s Signature Service standards and requirements ensuring a lasting impression of exemplary service resulting in supremely satisfied and loyal members and guests.

ESSENTIAL DUTIES AND RESPONSIBILITIES :

  • Answers the switch board with "Thank you for calling the La Jolla Beach and Tennis Club and La Jolla Shores Hotel, this is....how may I direct your call?"
  • Provides quality service to guests that meets or exceeds expectations by anticipating guest needs, always maintaining a polite, friendly, professional demeanor.
  • Uses the callers' and guests' name while answering phones or providing services.
  • Must have HOT SOS experience.
  • Directs incoming and in-house calls to guest rooms, offices and public service departments.
  • Assists the front desk and reservations during periods of high business volume.
  • Uses voicemail, pagers, personal computers and walkie talkies at appropriate times.
  • Maintains (updates) guest phone register.
  • Takes and distributes messages for guests and hotel staff.
  • Provides information on guest services and hotel activities.
  • Processes guest wake‑up calls.
  • Reads the Communications Log ("Red Book") and makes relevant entries.
  • Maintains current knowledge of Emergency Operational Procedures and contacts 911, M.O.D. (Manager on Duty) fire or police department when needed.
  • Other duties may be assigned

OUTCOME

Service provided by PBX operators will have a great effect on the guest impression of the entire organization. Friendly and efficient guest service will enhance guest comfort and satisfaction.

QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively in English to customers, guests, members, or employees of organization.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to finger, handle, or feel objects, tools, or controls. The employee is occasionally required to stand, walk, and reach with hands and arms.

The employee must constantly lift and/or move up to 10 lbs. and frequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, peripheral vision and the ability to adjust focus.

While performing the duties of this job, the employee occasionally works near moving mechanical parts and is occasionally exposed to risk of electrical shock.

INTERACTION

Employees in this position have daily contact and interaction with members, guests, and visitors via telephone as well as the housekeeping and engineering departments on the phone or in person. This position also requires frequent interaction with many other departments. Employees in this position must have the ability to communicate effectively and provide friendly customer service to these and all other designated internal and external customers.

SCHEDULING

This company operates seven days a week, 24 hours a day. Shifts will generally be rotated unless you were hired for a specific shift, as much as possible to be fair to everyone. At times it may be necessary to move you from your accustomed shift if business or task assignments demand. In addition, it should be understood that business needs determine the number of hours that you work.
