Job Description - Facilities Solutions Coordinator

About the Team

Our Real Estate team  takes on the task of finding and managing over 1,600 stores, DCs, and offices. Their scope is pretty big, as we are a multi-national retailer with over 1,600 leased stores, offices, and distribution centers in the US, Canada, Puerto Rico, and Hong Kong.  The team also supports new store growth through market analysis and research with the industry’s best data resources and analytical tools.  In addition to supporting the stores, we work directly with the Real Estate Legal, Facilities, New Store Construction, and Finance teams.

About the Location

Hybrid Position:

This position may be considered Hybrid based on PetSmart’s FlexSmart policy and business needs. A Hybrid work arrangement is considered to be a blend of onsite and remote work activity. Associates with a Hybrid work arrangement have a work space at Phoenix Home Office and can be required to come onsite between 1-5 days a week as determined by leadership and based on business needs.

About the Job

This position provides financial and analytical support for the Facilities and Contracted Services teams.  This position will assist in providing support for financial projections, variance analysis, invoice management, and vendor relations. Additionally, this position will partner with the capital project manager to create purchase orders, provide reporting on purchase order status and capital project finish dates, and partners with Financial Compliance to ensure purchase order accuracy.  Lastly, this position is responsible for leading the purchase requisition process with the Expenditure Committee.

Essential duties and responsibilities

  • Assist in preparing monthly P&L expense projections, month end accruals, and variance explanations
  • Review, code, and approve all facilities and contract services invoice
  • Audit the Open PO report; resolve discrepancies, validate project finish dates; manage $30M capital plan
  • Submit purchase requisition forms to the Expenditure Committee
  • Facilitate management of facilities vendors; ensure invoices are submitted timely, perform aging on Preferred vendors
  • Respond to store P&L inquiries
  • Receive and sort all mail for Facilities and Contracted Services to determine department ownership.

Required Skills

  • Degree from a 4-year college or university preferred and 1-2 years relevant experience.
  • Ability to improve processes to obtain efficiencies and improve communication with all operations.
  • Demonstrate excellent communication skills to enhance productivity.
  • Knowledge of basic financial reporting; ability to analyze spend patterns and trends
  • Able to demonstrate multi-tasking skills.
  • Flexibility in time management skills, balance productivity and general work practices to meet time committed goals.
  • Efficient in organizational skills, i.e. produce work results that require legible reports, quick reference, and history documentation on projects.
  • Knowledge of SAP preferred
  • Proficiency in Microsoft Office required
  • Intermediate proficiency with excel.
