The Retail/Food Supervisor is responsible for projecting and integrating the Mission and Core Values of the AIDS Healthcare Foundation (AHF) within and outside of the Food for Health Division (FFH).

 

Under the supervision of the National Director of Food for Health Programs, the Retail/Food Supervisor – Food for Health will be responsible for the logistical, quality assurance and administrative operations of all Food For Health (FFH) programs. Responsibilities include supervision of all FFH programs and assisting with the development and coordination of all FFH operational processes and services.

 

Essential Duties & Responsibilities

Includes the following. Other duties may be assigned.

 

Operations

  • Plans, leads, organizes, and controls all aspects of daily operations of Food for Health (FFH) Marketplace.
  • Establishes and maintains FFH policies and procedures that will provide a consistent and documented approach to achieve program goals and quality assurance.
  • Assists in the development of FFH Operations Strategic Plan. 
  • Coordinates the execution of daily, monthly & quarterly plans of action & agenda-setting for FFH Operations.
  • Leads weekly Operations Staff Meetings for FFH Marketplace.
  • Assists in the oversight, review and evaluation of tasks and responsibilities for FFH.
  • Assists in the coordination and supervision of communications, operations tasks, activities, and projects among Food for Health and AHF.
  • Identifies areas of improvement or issues with structures and processes within and across Operations and FFH. Assesses logistical needs and program barriers and identifies tools and approaches to overcome those barriers.
  • Helps develop and monitor key metrics to measure and assists in their evaluation for improvement.
  • Coordinates and supports the launch of new FFH operational systems and processes.
  • Facilitates implementation of processes to optimally streamline operations.
  • Maximizes the principle of due diligence in the functioning of FFH Operations.
  • Ensures legal compliance with all food safety regulations and laws.
  • Orders from distributors and vendor relationships.
  • Accounts for all payments and ensures cash handling procedures are closely followed.
  • Reports all discrepancies or missing cash immediately to the National Director of FFH.
  • Verifies credit card payments match the processor batch report. Alerts all discrepancies immediately to the National Director of FFH.

 

Sales and Customer Service

  • Develops strategies to improve customer service, drive store sales and maximize efficiency of budgets and resources.
  • Ensures all customers’ needs are met through FFH customer service philosophy and training.
  • Supervises customer relations through Clover POS System loyalty program.
  • Drive sales associate performance through ongoing training and development and measurement of key performance indicators.
  • Monitors and analyzes market trends and customer needs. 
  • Oversees donations submitted through Clover POS System mini.

 

Marketing

  • Implements and executes all visual merchandising according to FFH/AHF standards 
  • Assists in developing FFH Marketplace promotional material
  • Work closely with the National Director of Sales to make sure all displays and merchandising are having a positive effect on sales and customer experience in order to maximize profitability
  • Maintains the corporate visual standards. 
  • Builds store displays and fixtures. 
  • Reports store level observations related to product and customer needs/behavior.

 

Inventory

  • Inspects all items, checking for quality and quantities upon the delivery. Reports any substandard items or discrepancies immediately to the National Director of Sales.
  • Prepares and reviews all FFH Inventory Management reports.
  • Prevents and reduces inventory shrink through loss prevention and customer service best practices.
  • Maintains effective inventory control mechanisms and systems.
  • Conducts physical inventory of products within FFH Marketplace.
  • Continuously works on good inventory practices to ensure all inventory outside of FFH are safeguarded.
  • Assists in the supervision of FFH inventory and the implementation and maintenance of effective inventory control mechanisms.

 

Administration

  • Assists in the ordering and procurement of food and supplies for FFH Marketplace.
  • Assists with supervision of administrative costs across FFH.
  • Develops and enhances working relationships with the other departments. 
  • Assists in the operational development, implementation, and oversight of special projects with FFH.
  • Creates a safe working environment ensuring all OSHA regulations and standards are met at FFH Marketplace.

 

Human Resources

  • Recruits, selects, and hires employees for all FFH Marketplace open positions. 
  • Conducts new hire onboarding including both FFH and AHF. 
  • Supervises the staff within FFH Marketplace.
  • Provides ongoing training and development for FFH employees.
  • Evaluates performance of FFH employees through daily feedback, 90-day reviews and annual performance appraisals. 
  • Administers conflict resolution in accordance with AHF Human Resources policies.
  • Issues corrective action as necessary in accordance with AHF Human Resources policies.
  • Creates weekly schedules maximizing coverage and efficiency of payroll budget. 
  • Ensures compliance with all labor laws, including rest and meal break regulations.

 

Systems

  • Assists in all aspects of approved FFH projects including planning, management, and execution of all project phases.
  • Assists in the implementation of new Operations tools and software to streamline operations and ensure sufficient controls.
  • Assists as liaison for FFH with ADP eTime, Clover POS, EBT, Office Depot Portal, AHF Marketing Portal.

Attends AHF meetings as assigned.

 

Supervisory Responsibilities

Directly supervises employees including subordinate supervisors in FFH Operations. Carries out supervisory responsibilities in accordance with the organization’s policies. Responsibilities include but not limited to interviewing, hiring, and training employees; planning and assigning tasks; subordinate performance evaluation and conflict resolution.

Education and/or Experience

Bachelor’s degree or equivalent from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

Computer/Software Skills & Abilities

To perform this job successfully, an individual should have a proficient level of computer literacy, including experience in:

  • Microsoft Office software (Word, Powerpoint, Excel, etc)
  • Spreadsheet applications, including but not limited to an intermediate level of proficiency in Microsoft Excel and familiarity with cloud or web-based applications like Google Apps and mobile applications

Language Skills

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. 
  • Ability to write reports, business correspondence, and procedure manuals. 
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. 

 

Mathematical Skills

  • Ability to apply concepts such as averages, percentages, ratios, and proportions to practical situations. Knowledge of basic statistical concepts.
  • Ability to summarize data and perform basic data analysis
  • Ability to apply problem-solving skills, conceptual models and common sense understanding to carry out instructions.

 

Reasoning Ability

  • Ability to define problems collects data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

 

Other Skills & Abilities/Qualifications

  • Excellent organizational skills
  • Ability to multi-task and re-prioritize tasks under rapidly shifting business needs
  • Ability to work with minimal supervision.
  • Cultural competency in working with LGBTQI (Gay, Lesbian, Bisexual, Transgender, Queer, Questioning and Intersex) communities and addressing issues affecting these communities
  • Sensitivity to the issues surrounding HIV and AIDS.
  • Skill in communicating openly on sexual topics without prejudice or judgment.
  • Must have a valid driver’s license with reliable transportation and proof of insurance.
  • Must be able to work flexible hours including evenings and weekends.
