Job Description - Director of Sales and Marketing, Graylyn Conference Center

Job Description Summary Provides leadership and oversight of the sales and marketing activities of the Conference Center and implements activities and practices to grow revenues following budgeted expectations. Oversees marketing plan development to enhance Graylyn’s exposure and reputation as a premiere meeting and accommodation destination. Leads the group sales effort to meet growing revenue expectations. Participates as a key member of the Conference Center leadership team. Job Description

Essential Functions:

  • Directs sales activities of the Conference Center to achieve budgeted goals.

  • Oversees the establishment and execution of an annual marketing strategy.

  • Represents Graylyn in community and business activities to enhance the awareness and reputation of Graylyn.

  • Directs the development of annual sales targets; ensures they are fully understood and implemented in the Conference Center.

  • Directs reporting and appraising of results against planned objectives; coordinates sales staff activities; takes appropriate action to maximize sales.

  • Actively participates in daily selling activities either by direct account management or by assisting Account Managers.

  • In coordination with the Vice President of Hospitality and Auxiliary Services, establishes pricing strategy.

  • Ensures adherence to sales tactics as established in the Marketing Plan.

  • Assists in the preparation of the budget and ensures the department operates within costs and restraints.

  • Prepares revenue forecasts on a weekly, monthly, and annual basis and provides analysis of projections and actual results.

  • Solicits, evaluates, sells, and confirms business to meet overall budgeted sales and profit margin.

  • Qualifies prospective leads as to profitability.

  • Approves function space allocation for group and special event bookings.

  • Participates as required in solving problems with other departments related to business booked in the Conference Center such as problems with guest room and function space conflicts, salvaging accounts with threatened cancellation, and affecting compromise between customer needs and Conference Center facilities.

  • Contacts customers in-house to promote goodwill and foster additional business, repeat bookings, and referrals.

  • Enhances Conference Center’s community image and stays informed of competition, new developments, and sales methods and techniques in the Conference Center industry to maximize profitability.

  • Conducts and attends meetings to maintain favorable working relationships among company employees and to promote maximum morale, productivity, and efficiency.

  • Prepares reports, as requested, to develop a more informative database for improved management decision-making and critical evaluation of work activities that include Sales & Executive Committee reports, monthly sales and revenue variance reports, weekly and Monthly Sales Progress Reports, and Annual Budget Preparation.

  • Performs all accountabilities in a timely and efficient manner following established company policy and projecting a favorable image of Wake Forest University to achieve objectives, public recognition, and acceptance.

  • Keeps the Vice President of Hospitality and Auxiliary Services promptly and fully informed of all problems or unusual matters of significance so appropriate action can be taken.

  • Manages personnel procedures, including the following: interviewing, hiring, training, disciplining, terminating, handling transfers, employee performance reviews, promotions, increases, and demotions within the Sales Department.

  • Enforces rules of conduct and discipline following the rules and regulations set forth by the University and/or Graylyn Employee Handbook.

  • Performs other related duties as assigned.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor’s degree plus three to five years related experience in the Hospitality or other similar type sales and marketing industry, preferably at the boutique or luxury branded property, including one-year supervisory experience, or an equivalent combination of education and experience.

  • Experience in 4 or 5-star Lodging venues or service culture environments.

  • Excellent communication skills, both verbal and written.

  • Excellent interpersonal skills, including customer service skills.

  • Ability to collaborate with colleagues to advance the mission of the conference center and the greater university.

  • Ability to communicate effectively in the English language.

  • Ability to make independent decisions.

  • Ability to resolve conflicts among guests and/or employees.

  • Ability to interact with guests positively and tactfully.

  • Proficiency in MS Office, Word, Windows, Internet, and Email; knowledge of Front Office Software.

  • Ability to multi-task in a fast-paced environment.

  • Ability to work any schedule/shift.

  • Ability to drive and operate golf carts and other vehicles.

  • Valid driver's license with good driving record; must be insurable.

Accountabilities:

  • Supervises, trains, and provides work direction and problem-solving assistance for Sales and Marketing team members.

  • Provides input on budget development and ensures budget is adhered to for all departments under supervision.

Physical Requirements:

  • Sedentary work.

  • Talking, hearing, repetitive motions.

  • Close visual acuity.

Environmental Conditions:

  • Not substantially exposed to adverse environmental conditions.
