Job Description - Office Manager

We are hiring a Office Manager for our growing team!  The Office Manager is a vital component of the System of Care.  The Office Manager is under the supervision of the Center Director/Center Administrator/Campus Administrator and is responsible for ensuring the safety and well-being of persons served/clients. As well as, ensure compliance of all HIPPA laws.

Key Responsibilities:

  • Initial contact person for person served/client upon arrival for intake.
  • Creates an environment of hospitality for new persons served/clients.
  • Completes EMR intake documents with person served/client signature.
  • Schedules initial nursing assessment for person served/client.
  • Schedules initial counseling session for person served/client
  • Work directly with the intake department to help determine which programs and services will best fit the needs of the client. 
  • Confirming client’s appointments.
  • Connect client’s to Chaplain if needed. 
  • Ensuring appointments are set to meet compliance.
  • Answer incoming telephone calls and direct to appropriate recipients.
  • Assist executive and medical staff with administrative tasks, as necessary.
  • Compile information and complete data input, as appropriate.
  • Maintain organization and tracking of logs such as those for client money reconciliation, client emergency binder, etc. 
  • Maintain respectful relationships with persons served/ clients, intake staff, administrative personnel, and external professional groups and agencies. 
  • Participate in staff and state regulatory training as required
  • Adhere to program policies and procedures while maintaining a professional code of ethics
  • Maintain a valid driver’s license
  • Other duties as assigned. 

Key Experience and Education Needed:

  • High School Diploma or GED
  • Substance abuse experience preferred.
  • Appropriate State and Federal Clearances 

Other Qualifications to be Considered:

  • Knowledge and competency in problem solving, stress management, ethics and team building.
  • Knowledge of First Aid and CPR.
  • Knowledge of emergency procedures used in case of alcohol and/or drug overdose.
  • Knowledge and understanding of recovery principles and recovery driven service system
  • Knowledge of Federal, State and Municipal laws and/or regulations that regulate the treatment of alcoholism and drug addiction
  • Knowledge of the physical, emotional, intellectual and spiritual impact of alcohol and other drugs on the individual and family 
  • Attention to detail and organization a must.
  • Computer literate with experience in a Windows and Google environment.
  • Ability to work independently with minimal supervision.
  • Ability to prioritize work- and work-related responsibilities.
  • Ability to coordinate and manage multiple tasks
  • Ability to interact with a multidisciplinary team to assist in facets of the recovery program relating to physical health.
  • Flexibility to adapt to schedule changes and assumption of responsibilities not delineated in the job description which are related to work as a member of an addiction treatment team.
  • Ability to maintain confidentiality and handle crisis situations in a calm and supportive manner
  • Ability to exhibit professional and courteous behavior, consistent with the ARC mission statement, when interacting with persons of varying backgrounds and education levels to create a safe and healthy relationship with clients served
