Job Description - Internship - Office Manager/Administrative Assistant

Job Title:  Intern – Office Manager/Administrative Assistant

Reports to: Chief Executive Officer, Chief Financial Officer, Chief Programs Officer

Job purpose:

The Intern – Office Manager/Administrative Assistant plays a vital role in ensuring seamless operations within Partners for HOME during the absence of the incumbent due to maternity leave. This role involves comprehensive administrative support to the leadership team, overseeing critical tasks related to board/committee coordination, office management, and human resources functions. The successful candidate must possess excellent organizational skills and the ability to multitask efficiently.

Note: This position is temporary and contract-based, covering a three-month maternity leave period. The selected candidate will work closely with existing staff and follow outlined processes/resources for various projects and meetings.

Roles and Responsibilities:

Executive Support & Communications:

  • Assist in scheduling external and internal meetings for the CEO and C-Suite team.
  • Complete monthly expense reports for CEO.
  • Manage communications for CoC stakeholders and send monthly newsletters.
  • Complete letters of support/reference as needed.
  • Update website with relevant information.
  • Send donation acknowledgement letters and log received donations.

HR Duties:

  • Collaborate with leadership in the recruitment process and conduct first-round screening interviews.
  • Assist in candidate interviews and manage communication with candidates.
  • Support employee onboarding process.
  • Monitor hiring pages and coordinate candidate screening interviews.

Office Management and Staff Support:

  • Act as the initial point of contact for stakeholders, visitors, and callers.
  • Manage incoming/outgoing mail and purchase office supplies.
  • Coordinate staff birthday announcements, work anniversaries, etc.
  • Provide light IT support and assist in monthly staff meetings.
  • Communicate with building administration regarding office suite issues.

Boards and Committees Support:

  • Serve as the primary point of contact for boards and committees.
  • Maintain board portal software and coordinate meeting logistics.
  • Prepare and distribute meeting materials, ensure quorum confirmation, and compile comprehensive meeting minutes.
  • Assist in CoC stakeholder correspondence and planning of bi-monthly meetings.

Skills, experience, and qualifications:

  • Knowledge of office management systems and procedures.
  • Able to work in a fast-paced environment.
  • Strong attention to detail.
  • Well organized and excellent problem-solving skills.
  • Proficient in Microsoft Office.
  • Good verbal and written communications skills for both internal and external entities.
  • Independent judgement is required to plan, prioritize, and organize diversified workload.
  • Highly industrious with a strong work ethic; sense of urgency/impatience for action
  • Integrity and humility that encourages and inspires constituents, strong sense of judgment.
  • Ability to seek out constructive criticism and growth.
  • Ability to thrive under pressure, consistently meeting expectations and commitments on tight deadlines, all while managing a variety of tasks and relationships in an efficient and meticulous manner.

Compensation

This position is a full-time, temporary, contract (3 months) internship and will pay $25 - $30 per hour. There are no benefits for this position.

Education

Candidates should be in college pursuing a four-year degree.
