Job Description - 26-069 Engineering Intern


This temporary Office Support Assistant (Engineering Intern) position provides administrative and technical support to the Facilities Project Manager and City Engineer for City-owned buildings, parks, and recreation-related facilities. The position supports capital planning, asset management, and facilities maintenance operations through data collection, documentation, field observations, and coordination activities.


This is a temporary, up to 40 hours per week per week, non-exempt position.  $15.82 to $22.95 per hour.  Position is open until filled.

DUTIES AND RESPONSIBILITIES (Except as specifically noted, the following functions are considered essential to this position. The listed examples may not include all duties found in this class):
  1. Provide administrative and technical support to the Facilities Project Manager and City Engineer related to capital planning, capital improvement projects, facilities asset management, and ongoing maintenance operations.
  2. Assist with data collection, organization, and analysis for facilities condition assessments, asset inventories, lifecycle tracking, maintenance planning, and capital improvement programming.
  3. Support the development and maintenance of asset management records, including organizing project files, maintenance documentation, inspection records, and asset data within facilities management systems.
  4. Attend project, planning, and coordination meetings with, or in place of, City staff; prepare clear, accurate, and well-organized written meeting notes, summaries, and minutes suitable for internal records and external distribution.
  5. Assist in tracking project schedules, budgets, work orders, and consultant or contractor deliverables related to facilities, parks, and recreation projects.
  6. Conduct field observations at City buildings, parks, and recreational facilities to confirm general conformance with project plans, specifications, maintenance standards, and schedules; document observations through clear written narratives and photographs.
  7. Assist in the preparation of capital project, asset management, and maintenance-related documentation, including exhibits, scopes of work, cost estimates, reports, and presentation materials for staff, boards, and the public.
  8. Utilize Geographic Information Systems (GIS), facilities management software, and other data management tools to support asset tracking, space planning, maintenance planning, and capital project documentation (experience preferred but not required).
  9. Coordinate and communicate effectively with City staff, consultants, contractors, and other stakeholders involved in facilities planning, construction, asset management, and maintenance activities.
  10. Operate a City-provided vehicle to travel between facilities, parks, and project sites as required.
  11. Adhere to applicable safety procedures and regulations when performing office and field work, including work in active maintenance or construction areas.
  12. Perform other related duties as required.

KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS:
  1. Currently enrolled in a Facilities Management, Construction Management, Engineering, Architecture, or related degree program, with coursework in engineering disciplines (civil, mechanical, structural, or environmental) considered beneficial, at an accredited college or university.
  2. Strong written communication skills, with the ability to produce clear, accurate, and well-organized meeting minutes, reports, summaries, and technical documentation.
  3. Understanding of, or interest in, facilities asset management principles, including asset inventories, condition assessments, lifecycle planning, and documentation practices.
  4. Strong organizational skills and attention to detail, particularly when managing data, records, and written materials.
  5. Ability to collect, organize, analyze, and summarize technical and operational information.
  6. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  7. Ability to communicate professionally and effectively with a variety of internal and external stakeholders.
  8. Ability to work independently and collaboratively as part of a multidisciplinary team.
     
EDUCATION/LICENSURE/CERTIFICATION REQUIREMENTS: High School diploma or equivalent, required. Must hold a valid motor vehicle operator license.
