Job Description - Copy Cataloging Student Worker

Suitable for students with basic foundational knowledge and little to no practical experience, ideal for freshmen or sophomores who have completed only introductory courses.

Job Summary

The Copy Cataloging Student Assistant supports the library's Technical Services unit by locating, importing, and editing existing bibliographic records and by helping maintain the accuracy of the catalog. During Summer, this position will focus heavily on the Children's collection weeding (deselection) project, assisting with the review, withdrawal, and record cleanup of materials being removed from the collection. Work is performed under the supervision of the Collections and Cataloging Librarian. This position is well suited to a careful, detail-oriented student who enjoys methodical, precise, and sometimes repetitive work where accuracy matters.

Note: The library currently uses OCLC WorldShare Management Services (WMS) and will migrate to EBSCO's FOLIO platform in January 2027. The student should be adaptable and willing to learn a new library services platform during their employment.

Primary Responsibilities

  • Support the Children's collection weeding project: pull items flagged for review, verify them against the catalog, withdraw items in the system, and remove holdings/item records as directed.

  • Search WorldCat and the library catalog through OCLC WMS (WorldShare Record Manager) to locate and verify existing bibliographic records that match items in hand.

  • Verify that records match the physical item by checking title, author, edition, publication date, and other identifying details.

  • Download, import, and edit copy cataloging records according to established procedures.

  • Apply and verify call numbers (Library of Congress classification) and create or update holdings and item records, including barcodes and location codes.

  • Update collection statistics and maintain accurate counts of items processed and withdrawn.

  • Prepare materials for the shelf or for discard, including spine labels, ownership stamps, and processing/de-processing of withdrawn items.

  • Perform basic quality control and proofreading of records to catch errors or inconsistencies.

  • Assist with related technical services tasks, including preparation for the upcoming FOLIO migration, as assigned.

Required Qualifications

  • Currently enrolled BYU–Hawaii student in good academic standing and compliant with the CES Honor Code.

  • Strong attention to detail and a high level of accuracy; able to catch small discrepancies and follow precise, multi-step procedures consistently.

  • Dependable, punctual, and able to work independently after training.

  • Comfortable with basic computer applications and able to learn new software systems, including a future platform migration.

  • Ability to handle repetitive tasks carefully without losing accuracy.

Preferred Qualifications

  • Previous library, clerical, or data-entry experience.

  • Familiarity with a second language (helpful for processing the library's international and foreign-language materials).

  • Interest in library science, information organization, or a related field.
