Job Description - Employee Experience Coordinator - Spring / Summer 2026

Location: Woodward, Pennsylvania

The Employee Experience Coordinator is a full-time, summer seasonal role within the Talent & Culture department. This dynamic position focuses on onboarding, employee housing, international staff travel / activities, employee events, staff socials, and departmental operational support. This position reports to the Employee Experience Specialist and works closely with them. 

 

The Employee Experience Coordinator leads the employee housing program, coordinating arrivals, departures, accommodations, and inspections. They coordinate international staff arrival/departure and activities. They also assist with planning and hosting employee events. Additionally, the Coordinator supports the day-to-day operations of the department, including staff check-in, onboarding, offboarding, and other general human resources functions.  

This role requires strong computer skills, professionalism, and the ability to thrive in a fast-paced, inclusive environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Coordinate travel arrangements, off-site activities, and key aspects of Woodward PA’s international employee program-including onboarding and check-in.  

  • Contribute to Talent & Culture operations, including staff check-in and onboarding processes.  

  • Perform general human resource related duties as required including the tracking of high-volume employee onboarding components and certifications.  

  • Detailed data entry in our HR information system.  

  • Assist with planning and hosting employee events,  

  • Maintain accurate data entry, file management, and documentation organization as required.   

  • Execute and manage the day-to-day operations of the employee housing program under the direction of the Employee Experience Specialist, serving as the primary point of contact for housing-related questions, concerns, and communications.  

  • Work closely with the T&C department to support and carry out employee housing assignments.  

  • Lead the employee housing check-in process, ensuring collection of housing agreements and security deposits.  

  • Perform weekly housing inspections and coordinate check-out inspections.  

  • Coordinate with the Maintenance and Hospitality teams to ensure employee housing meets quality, safety, and cleanliness standards.  

  • Enforce housing and company policies consistently to maintain a positive, safe, and respectful living environment.  

  • Address and resolve employee housing issues and conflicts professional escalating as appropriate.  

  • Support continuous improvement of the employee housing program by gathering employee feedback and recommending enhancements for future seasons.  

  • Other duties as assigned.

QUALIFICATIONS 

Required Qualifications 

  • 1-2 years of administrative experience. 

  • 2 years of college. 

  • High School Diploma or equivalent. 

  • Administrative skills with MS Office and ability to learn other computer programs quickly.  

  • Provide work related references upon request. 

  • Employment in this position is contingent upon successful completion of all pre-hire background checks, including criminal history clearance through the Pennsylvania State Police (PATCH), child abuse clearance through the Department of Public Welfare, Motor Vehicle Record if required by position  and federal background screening via FBI fingerprinting. 

 

Preferred Qualifications: 

  • 1 year of Human Resource experience preferred. 

  • Experience working in a camp environment preferred.

 

PRE-REQUISITES 

Must have or be able to obtain the following prior to starting work: 

Woodward will supply information to assist you in obtaining these if needed.  

  • Mandated Reporter Training Certificate 

  • Safesport Training Certificate 

 

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS 

  • Physical Capabilities: ben, twist, push, pull, stand, lift 50 lbs.   

  • Must be comfortable working in an outdoor and indoor all-season environment.   

  • Adhere to all workplace safety practices, expectations, and guidelines.   

  • Primary on-site work location: Woodward, PA
