Job Description - General Procurement Intern

POSITION OVERVIEW 

Under the direct supervision of the Supervisor, Strategic Sourcing/Contract Management & General Supply Chain, the General Procurement Intern performs a variety of duties and activities related to RFP/RFQ analysis, ERP system data entry, supplier information management, and contracts system data entry within the Supply Chain Department Participate in on-the-job training and review documentation to ensure accuracy.  Responsible for maintaining a clean, orderly, and safe working environment.  

ESSENTIAL DUTIES & ACCOUNTABILITIES 

  • Validate supplier information then update pricing and contacts in ERP System. 

  • Support inventory counts as . (Reconciliation, investigation, counts, surveys) 

  • Communicate with supervisor on items that may drive operational performance and require assistance.

  • Research and analyze potential suppliers/vendors for RFP/RFQ/RFI.  

  • Ensure maintenance of accurate, thorough contract records and help to facilitate efficient interdepartmental communications related to assigned areas. 

  • Support company initiatives, record keeping, administrative tasks and other miscellaneous projects and reporting requests as needed. 

  • Create and maintain spreadsheets as necessary and provide reports. 

  • Review contacts and update the contract database. 

  • Accountable for ensuring corporate Safety Management System activities are being effectively applied by staff personnel within PHI. 

  • This job is an in-office assignment. 

  • Perform miscellaneous related duties as assigned by supervisor. 

  • Travel may be  to visit PHI bases or vendors/suppliers. 

  • Work in Microsoft products, especially Excel for reporting and analysis. 

  • Promote PHI’s Destination Zero initiative. 

 

QUALIFICATION REQUIREMENTS 

  • High school diploma or equivalent 

  • Solid knowledge of business and economic issues, cost structures and contracts. 

  • Ability to pay strict attention to details, excellent organizational skills, strong computer skills, and strong communication skills.  

  • Ability to manage multiple priorities and tasks simultaneously and maintain tight timelines while meeting targeted savings outcomes. 

  • Strong conflict management, problem-solving and communication skills (both verbal and written). 

  • Knowledge of program management tools and technique. (Word, Excel, PowerPoint, etc.)

While performing the duties of this job, the employee is regularly required to sit. The employee is frequently required to use hands to finger, handle or feel, and talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms; climb or balance; and stoop, kneel, crouch or crawl. While performing the duties of this job, the employee is regularly required to lift and/or move up to 10 pounds. The special vision abilities for this job are close vision, distance vision, color vision, depth perception and the ability to adjust focus. 

 

WORK ENVIRONMENT: 

While performing the duties of this job, the employee is exposed to a moderate noise level.
