Job Description - Learning and Development Intern

Job Purpose

The Learning & Development Intern provides administrative and operational support for companywide training programs and operational systems initiatives. This role coordinates logistics, scheduling, communications, documentation, and reporting to ensure programs are delivered efficiently, consistently, and in alignment with organizational priorities. Success in this role requires strong organizational skills, attention to detail, effective communication, and the ability to manage multiple priorities while maintaining professionalism and confidentiality.

Essential Functions

  • Prepare and distribute routine and confidential correspondence, reports, and memos with a high level of accuracy, appropriate formatting, and within established deadlines.
  • Assist in the production and distribution of training materials and documentation (printing, copying, collating, and email distribution) ensuring materials are complete, accurate, and delivered prior to scheduled sessions.
  • Assist in the coordination of meeting logistics for Learning & Development and Operational Systems programs, including room scheduling, setup requirements, and participant communication.
  • Verify meeting spaces meet capacity and audiovisual requirements prior to events to ensure sessions start on time without technical issues.
  • Assist in the creation and distribution of electronic meeting and event invitations with accurate details (date, time, location, agenda, and materials).
  • Track invitation responses and follow-up with attendees to confirm participation and ensure required attendance levels are met.
  • Assist in the coordination of internal and external resources for training programs and events, ensuring all support (facilitators, vendors, materials, and technology) is aligned and ready.
  • Manage and maintain departmental Microsoft Outlook calendars, ensuring schedules are accurate, conflicts are minimized, and updates are communicated in a timely manner. Coordinate Outlook calendar with events calendar on Insider.

Job Requirements

  • Prioritize and manage competing priorities effectively, delivering assigned tasks on time and following projects through to completion with minimal oversight.
  • Communicate clearly and professionally in written and verbal formats, ensuring information is accurate, timely, and appropriate for the audience.
  • Organize and manage multiple workstreams simultaneously, maintaining accuracy, meeting deadlines, and minimizing rework.
  • Apply problem-solving skills to identify issues, evaluate options, and implement solutions, escalating when appropriate.
  • Maintain working knowledge of company policies, procedures, and internal controls, ensuring tasks are completed in compliance with established standards.
  • Build and maintain strong working relationships across teams, supporting collaboration and information sharing.
  • Demonstrate a sense of urgency and accountability, delivering results in alignment with company values and brand standards.
  • Adapt to changing priorities and business needs, adjusting work plans while maintaining productivity and quality.
  • Utilize Microsoft Office applications (e.g., Outlook, Excel, Word, PowerPoint) to complete tasks efficiently and accurately.
  • Utilize virtual meeting platforms (e.g., Zoom, Microsoft Teams) to schedule, host, and support meetings and training sessions.
  • Handle confidential information with discretion, maintaining data security and privacy at all times.

Experience

  • Knowledge of construction industry preferred

Work Environment and Physical Demands:

Work will be completed at in an office environment; regular workdays and hours are Monday through Friday from 7:30AM - 4:30PM but days and hours may vary based on project needs.  While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel; and talk or hear; climb stairs and/or ladders and walk on uneven ground.
