OVERVIEW

Responsible for the administrative and clerical support flow for the Volunteer Income Tax Assistance (VITA) program. Provides a variety of administrative support services for the Agency, including a combination of creating reports and correspondence, scheduling for VITA clinics, completing data processing, utilizing office machines, and providing education to individuals who speak English as a second language. Receive and greet clients via in person and phone. Position may from time to time be stressful and require a high demand of performance. May perform other duties as assigned.

ESSENTIAL FUNCTIONS

  • Obtain site coordinator certification in IRS Link and Learn program; become proficient in TaxSlayer Online Software (TSO); become familiar with and be able to provide guidance on the use of tax software as designated by IRS guidelines
  • Transmit returns to IRS
  • Communicate with volunteer preparers and quality reviewers
  • Meet with tax clients, perform intake, and prepare taxes
  • Greet clients and visitors in person and/or via telephone and other telecommunication in a polite manner and advises appropriate staff of client/visitor calls
  • Takes/writes concise messages for staff concerning telephone, video calls and other telecommunication call and in-person visits/inquiries
  • Schedules appointments for VITA for both clients and volunteers; makes reminder calls to clients
  • Coordinate and manages the tax volunteers by their specific roles
  • Processes incoming and outgoing mail
  • Monitors all laptops, printers, and scanners, and reports issues to Associate Directors
  • Maintains organization of the copy room and file room on a regular basis

MINIMUM REQUIREMENTS

Suitable work experience may be considered as transferable skills in order to meet minimum requirements of the position and will be considered by the Executive Director of Human Resources.

  • High School Diploma or GED
  • 1 year of experience in related administrative support capacity
  • Ability to earn IRS VITA certification
  • Tax return experience
  • Knowledge of current tax laws affecting individuals, families, and small businesses
  • Proven skill utilizing Microsoft Office Suite in a network environment
  • Pass drug screening
  • Pass FBI Fingerprint Criminal History Summary
  • Bilingual in English and Spanish, verbal and written

REGULATORY

  • Must be at least 18 years of age
  • Valid driver license, proof of insurance, and 39-month motor vehicle report
  • Ability to obtain and maintain Arizona Level One Fingerprint Clearance Card and FBI National Criminal Records History Report (employer paid)
  • Pass pre-employment drug screen (incudes marijuana, regardless of recreational use laws) (employer paid)

DESIRED QUALIFICATIONS

  • Post-secondary education
  • Enrolled Agent certification
  • Marketing and outreach experience
  • Bilingual in other languages other than English and Spanish
  • Additional years of directly-related experience
