Our client, a higher education institute in Cambridge, is seeking a Part Time Administrative Coordinator to work 17.5 hours a week. This would be Monday - Friday, 3.5 hours a day and pays $22.50/hour. This role will be supporting the managing director of one of the applied sciences departments with various administrative projects. This role is slated to last through June and is covering a leave.
- Serves as a contact for financial transactions. Processes payments, including travel reimbursements for faculty and center participants, vendor invoices, and other accounts payable and receivable transactions.
- Coordinates Center's weekly hybrid seminar series, including contacting center participants and filling schedule each semester, managing zoom webinar, AV, catering, coordinating speaker travel, and updating website.
- Communicates travel and reimbursement guidelines to center participants.
- Anticipates and resolves problems; provides updates on the status of issues and tasks.
- Maintains record keeping systems for tracking expenses.
- Ensures spending is appropriate, within budget on various accounts.
- Maintains historical records of events and activities for the centers for reporting purposes.
- Handles logistics for events, workshops and meetings, working within a defined budget.
- Negotiates with hotels, caterers and vendors and makes recommendations on menus and activities.
- Handles room reservations/facilities, AV, catering, transportation, meeting/event materials, and related details.
- May arrange travel.
- Sends out event communications, tracks responses and follows up with participants/speakers as needed.
- Drafts, edits and prepares correspondence, reports and other materials using Word, Excel and/or databases.
- Develops and implements processes and systems to maximize efficiencies and streamline workflow.
- Accomplishes related duties and takes on new responsibilities in response to changing office needs.
- Learns new software and systems as needed. Participates in Area team meetings, trainings, and other activities.

- Ability to work independently with minimal supervision, take initiative, problem solve, and prioritize work in an environment with multiple and conflicting interests.

- Must be able to handle complex and confidential information with discretion.
- Competency using a variety of computer software with the ability to learn new systems quickly.
