Job Description - Executive Administrative Assistant - Part-Time

What’s a typical day as an Executive Administrative Assistant (Part-Time)? You’ll be:

• Organizing internal and external meetings, including notifying attendees, reserving conference rooms, handling logistics, drafting and distributing agendas, and taking minutes as needed

• Designing and implementing a system for timely and accurate information flow to and from the President

• Coordinating President’s scheduling, domestic and international travel, and other administrative needs

• Tracking, monitoring, and following up on projects and action items; working closely with members of the executive team to ensure timely completion of tasks

• Managing key relationships on behalf of the President, including with members of the Board of Directors; assisting in relationship-building inside and outside the organization by maintaining regular communication and timely follow-up

• Planning and preparing President’s timely internal communications and external correspondence

• Coordinating the preparation of briefing materials for meetings and events; working with the Communications/Marketing staff to coordinate development and preparation of the President’s public speeches and remarks; working with Sales staff on preparation and travel for meetings and communications with customers

• Ensuring that all correspondence and materials exiting the Executive Office are accurate, high quality, and proofread

• Managing special projects and drafting strategic communications

• Providing project management for the Board of Directors, including: scheduling and managing follow-up items from all board meetings and tracking outcomes from all committee meetings; updating membership lists and contact information; documenting key correspondence; and facilitating the assessment and evaluation of board members/committees

• Other duties as requested to meet department and organizational needs

This job might be an outstanding fit if you:

• Have a Bachelor’s degree and at least 3 years of experience providing direct senior-level project and administrative support

• Have 5 years’ experience providing support at an executive level in a publicly-traded company setting

• Possess exceptional time management skills and the ability to handle multiple projects and meet deadlines

• Are able to work independently and as part of a team

• Have exceptional attention to detail and strong analytical skills

• Have a professional image and demeanor that represents the Office of the President

• Can interact with high-level individuals internally and externally

• Consistently exercise sound judgment and take initiative to get things done

• Are able to travel up to 10% of the time, as needed
