Part-time


Description

A few things to get out of the way real quick.

  • This is a part-time position that requires you to be in person at our office in Middleton, WI 53562, M-F.
  • Office hours are 8:00AM to 4:30PM, but we need you here for 3-5 hours a day.

It is why we get out of bed each morning.  We have employees all over the United States, though our main offices are in Milwaukee, Portland, Olympia, Nashville, and Middleton, WI, which is where you will be working from.

Fickett Structural Solutions, Inc. serves public and private owners in the A/E/C industry by providing inspection, testing, engineering, and quality assurance services of both “horizontal” and “vertical” structures from fabrication through the life cycle of the structure.

This is mostly a behind the scenes support role, with client interaction generally only to answer questions, help them bring their account current, or get past due invoices paid.

You are a good communicator and an ambivert who loves to ask “when and how?”

You are a quick learner who is great at taking direction and execution but also takes the ball and runs with it to create even better solutions.

Requirements

What you'll be doing

AP/AR

  • Review, verify, and process invoices from vendors, ensuring that all necessary information is complete and accurate before payment.
  • Prepare and process payments, including checks, ACH transfers, and credit card payments, ensuring timely disbursements and compliance with payment terms.
  • Maintain accurate and up-to-date vendor records, including contact information, payment terms, and any special instructions related to invoicing or payments.
  • Monitor overdue accounts and make collection calls as required. 
  • Deposit and accurately record client payments in a timely manner. 

Accounting/Reporting

  • Provide support during audits and month-end closing activities. 
  • Assist with reconciling accounts payable transactions, ensuring that vendor statements and internal records match and resolving discrepancies when needed.
  • Keep organized records of financial documents.
  • Maintain bookkeeping standards while ensuring that company policies and procedures are followed.
  • Assist with payroll functions by using our third party payroll processor to enter employee time and expenses.

This role is a critical part of the team. You assist to make sure accounting is moving efficiently, getting done accurately, improving where necessary, and supporting the Accounting Manager. 

We need someone to help make sure that we have a smooth accounts payable and receivable process that meets the needs of the company.

You will help us make sure that invoices are paid, not only in a timely manner, but correctly so that our team and vendors can be in a happy coexistence.

We want you to be able to take ownership over your duties and will provide training, but we do not want to have to micromanage you and how you tackle your day and to-dos once you are up and running. We want you to be able to make a plan and follow it through.

We really need someone that can take ownership of all of AP and AR so the Accounting Manager can focus on client contracts and big-picture financials.

You’ll be an integral part of the operations of the business and accounting support.

Compensation:

This role is hourly starting between $25-$30/hour depending on your experience level.
