CBS-CS Administrative Assistant (AA)
Description:
Congregation Beth Sholom-Chevra Shas is seeking an administrative assistant to provide administrative, logistical, and programmatic support to the Executive Director, Rabbi, staff, and volunteers.
Reporting to the Executive Director, the AA is a critical member of the CBS-CS staff, working closely with the team, volunteers, and outside groups to ensure the synagogue operations run smoothly. They are the first point of contact for many visitors to the synagogue. This position is available immediately.
Hours and Wage:
This is a part-time position with an average of 30 hours per week and an hourly wage of $20 per hour. Office hours are 10 am to 5 pm Tuesdays and Thursdays and 10 am to 3 pm on Wednesdays and Fridays. There are up to 8 flex hours allocated per week to meet with volunteers or to provide event/activity support. Flex hours may include occasional mornings, evenings, and weekends.
Position Responsibilities:
The responsibilities of this position vary according to the time of year, the needs of the staff, and the capabilities of volunteer and lay leaders. Position responsibilities fall into these categories:
1. Supports business operations including management of databases and other files, purchasing of supplies and equipment, producing reports, assisting with the budget process, and working with vendors.
2. Maintains the paper and digital CBS-CS master calendar and manages access to the facilities and preparation for events, services and meetings.
3. Provides a welcoming experience when answering phones, emails and the front door; helps with membership recruitment efforts, and managing event registration.
4. Coordinates and distributes mailed and digital materials and official synagogue correspondence for Shabbat, holidays, events, fundraising and synagogue operations.
5. Ensures appropriate documents and materials are in place for Shabbat, holidays, and events.
6. Maintains a clean and organized front desk and office space, as well as manages and maintains the supply closet and office stock.
Skills and Experience Necessary:
● Effective verbal, written, telephone and interpersonal skills;
● Ability to work independently and make decisions within scope of responsibility;
● Ability to collaborate effectively with volunteers, as well as staff;
● Capability to organize office operations;
● Experience in office operations;
● Computer competency: Competency in either Mac or PC, as well as Microsoft Office (such as Word, Excel, and PowerPoint), Has ability to develop competency in member database software, Google Docs, and other communication and productivity apps;
● Familiarity with audio visual systems preferred;
● Experience with Jewish life and/or Synagogue operations preferred, or willingness to learn.
