Location: 4070 Mission Ave., Oceanside, CA 92057

Reports to: Pastoral Associate

Employment Type: Part-Time (19 hrs. – includes Tuesday and Wednesday afternoon and evening office hours, and Sundays)

FLSA Status: Non-Exempt

Pay Rate: $20 - $22 per hour

Position Description

The Mission San Luis Rey Administrative Assistant is responsible for supporting the clerical duties of the parish, especially the faith formation program and the confirmation program. 

Responsibilities

  • Manage and maintain all student, family, sacrament and tuition records in PDS.
  • Manage attendance records of students.
  • Sacramental Record Keeping: data entry, filing, creating certificates, notification mailings.
  • Office receptionist, guest service, phone operator.
  • Manage all mailings (certificates, tuition balances, etc.)
  • Process tuition payments and outstanding balance notifications. 
  • Assist with transfer letters for transferring families.
  • Assist with any other office duty that the pastoral associate asks.

  • Be a practicing Catholic in full communion with the Church. 
  • Must be bilingual in English and Spanish.
  • Excellent communication skills, verbal and written.
  • Excellent human relations and interpersonal skills.
  • Exercise courtesy to fellow employees, parishioners, and the public.
  • Be a self-starter; well-organized; perform multiple tasks simultaneously and work with a sense of urgency.
  • Ability  to maintain confidentiality.
  • Ability to work collaboratively in a team environment; punctuality is always a must.
  • Proficiency in computer technology to include email communication, data entry, word-processing (Microsoft Word), spreadsheets (Microsoft Excel), desktop publishing (Microsoft Publisher), Canva, Use of Social Media Platforms, and Internet research.
  • Use of office equipment, copy machine, scanner and other office equipment.

While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within the office, as well as maneuver throughout the Mission San Luis Rey Parish facility to attend meetings, briefings, and other work-related events. The employee must be able to climb stairs. The employee must occasionally lift and/or move up to 30 pounds.
