Job Description - Administrative Assistant

Administrative Assistant: Part Time



Compensation: $16/hr


Location: Northfield, Ohio (In Office) - 9821 Olde 8 Rd, Northfield, Ohio 44067


Hours: +/-20 hours per week, Monday–Friday, 10:30 AM – 2:00 PM

About the Role


We are seeking a Part-Time Administrative Assistant to facilitate the efficient operation of the assigned office by performing a variety of clerical and administrative tasks. The ideal candidate is highly personable, detail-oriented, and thrives in a fast-paced environment where client needs come first.

Key Responsibilities



  • Answers and transfers phone calls, screening when necessary.

  • Welcomes and directs visitors and clients.

  • Maintains filing systems as assigned.

  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.

  • Responds to and resolves administrative inquiries and questions.

  • Coordinates and schedules travel, meetings, and appointments for lawyers and paralegals.

  • Records and distributes minutes or other records for meetings.

  • Maintains office supplies and coordinates maintenance of office equipment.

  • Maintains a system for recording expenses and the use of petty cash.

  • Maintains a clean office by wiping down surfaces, taking out trash and sweeping floors.

  • Performs other related duties as assigned.

  • Exceptional communication skills: You must be warm, articulate, and attentive in every interaction.

  • High attention to detail: Accurate documentation and intake records are critical.

  • Emotional intelligence: You can empathize, listen, and navigate sensitive conversations with professionalism.

  • Strong time and task management: You will juggle multiple intakes in a day, moving quickly and efficiently from one to the next.

  • Ability to work independently: You can follow instructions and ensure that work is fully completed (start to finish) with minimal or no oversight.

  • Comfort with technology: Proficiency with intake platforms, digital scheduling tools, and office software.

  • Education: High School or Associate’s degree in related field preferred.

  • Physical Requirements: Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.

Qualifications



  • Experience in document processing, case management, or front-office roles.

  • Familiarity with law firm operations, especially in HOA (preferred).

  • Prior experience in fast-paced service environments.

  • Ability to manage multiple tasks and deadlines with minimal supervision.

  • High attention to detail and organizational skills.

  • Excellent written and verbal communication skills and customer service acumen.

  • Familiarity with Clio, Box, RingCentral, Anva, and Mac (Apple) Computers are a plus.
