Job Description - Business Administrator


Job Title: Business Administrator

 

Founded in 1985, C.S. Lewis Academy is the premier K-12 Christian school in Yamhill County.  With a motto of “Preparing Students for Life,” the school inspires its students to become servant leaders. 

Purpose of the Position:

This position is responsible for the overall financial management and human resources administration of the school. Key responsibilities include oversight of accounting, payroll, budget development, and the preparation of accurate financial reports for leadership and the board. The role also manages employee contracts, benefits, compliance, and personnel records. By ensuring sound financial stewardship and effective HR practices, this position supports the school’s operational stability and advances CSLA’s mission.

Position:

  • Part Time: 20 hours per week
  • Calendar Year with summer flexibility
  • Salaried, at will employee

Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field (MBA and/or CPA preferred).
  • Proven experience in accounting, finance, human resources, and business operations; nonprofit experience preferred.
  • Proficiency in QuickBooks and Microsoft Excel; ability to generate accurate reports and manage complex data.
  • Strong knowledge of GAAP and familiarity with nonprofit accounting principles.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong interpersonal, communication, and presentation abilities, with discretion in handling confidential information.
  • Commitment to and appreciation for a Christ-centered K–12 educational environment.
  • Alignment with the C.S. Lewis Academy Statement of Faith.
 

Responsibilities:

Finance Management

  • Oversee and maintain accounting systems in compliance with GAAP; serve as full-charge bookkeeper.
  • Work with the Board Treasurer on transaction coding, asset capitalization, depreciation, write-offs, and debt amortization.
  • Accurately record restricted/designated funds and communicate balances.
  • Process payroll journal entries, journal adjustments, and maintain asset/depreciation schedules.
  • Prepare and present monthly, annual, and ad-hoc financial reports; support audits and IRS 990 preparation.
  • Develop and maintain budgets in collaboration with administration and board.
  • Oversee tuition, fees, financial aid processing, and compliance with financial policies.
  • Ensure proper cash handling, recommend efficiencies, and review insurance coverage.
  • Supervise finance office clerk and attend finance/board meetings as needed.
 

Human Resources

  • Prepare contracts, process payroll, track timesheets, bonuses, PTO, and absences.
  • Manage employee benefits, workers’ comp, and compliance with HR laws (COBRA, EEOC, FMLA, etc.).
  • Oversee onboarding, orientation, background checks, fingerprinting, and required trainings.
  • Maintain employee records, certifications, and HR files; update handbook and required postings.
  • Coordinate employee exits and ensure proper offboarding.
  • Prepare annual reports (EEO-1, W-2s) and assist with academic calendar/payroll alignment.

Other Duties

  • Order and manage janitorial and office supplies.
  • Coordinate janitorial schedules and special event needs.
  • Order fundraising cards and manage scrip program.
  • Assist with building security/lock-up as part of administrative team.
