Client Schedule Coordinator
PureDropIV is a women-owned, nurse-led business providing on-demand, concierge wellness services across the DMV. We’re seeking a highly qualified Client Schedule Coordinator with strong customer service skills and the ability to multitask in a fast-paced environment.
Position Overview:
The Client Schedule Coordinator is essential in coordinating intravenous therapy appointments between clients and nurses. This role manages nurse schedules, sets appointments, and performs administrative tasks to ensure efficient service delivery.
Schedule:
Part-time, 40 hours/week, with 10-hour shifts on a rotating schedule (including every other weekend).
Responsibilities:
- Answer incoming calls, texts, emails, and other communications.
- Schedule client appointments, ensuring efficiency and resource optimization.
- Adjust schedules as needed for urgent or changing client needs.
- Confirm appointments, gather client information, and address inquiries.
- Maintain accurate records of appointments and schedules.
- Perform administrative duties like data entry and file organization.
- Manage client information with confidentiality and compliance.
- Prepare and distribute forms, documents, and reports.
- Collaborate with management to support seamless operations.
- Use software systems to manage schedules and appointments.
Qualifications:
Experience: 1-2 years in a scheduling or similar role, ideally in a medical or in-home care setting. Must thrive in fast-paced environments with high appointment volumes.
Organization: Exceptional skills to handle multiple projects, prioritize tasks, and meet deadlines with accuracy.
Multitasking: Ability to manage competing demands and adapt to changing client needs.
Communication: Professional and courteous verbal and written communication.
Customer Service: Empathetic, compassionate, and dedicated to excellent service.
Team Player: Collaborative approach to working with staff and management.
Technical Skills: Proficiency in scheduling software, databases, and Microsoft Office Suite. Knowledge of medical terminology and confidentiality regulations is a plus.
Flexibility: Adaptable to changes in schedules and client needs.
Required Skills:

Education & Experience:
- High school diploma or equivalent
- 1-3 years of customer service experience
- 1-3 years in a scheduling role
- 1-3 years of sales experience
- 1 year of experience with medical terminology (preferred)
