Job Description - Education & Family Services Coordinator

Location: Chandler, AZ (In-Office – 3 Days/Week)
Employment Type: Part-Time (24 Hours/Week)
Pay Range: $22–$24/hour (based on experience)
Reports To: Director of HCBS and Billing Operations

We are seeking a dedicated and highly organized Education & Family Services Coordinator to join our operations team. In this part-time role (24 hours/week), you will work closely with leadership and therapists to support both school-based and home & community-based (HCBS) services. You’ll help streamline communication, support documentation compliance, coordinate hiring and onboarding, and ensure services are delivered efficiently and effectively.

This is an in-office position (3 days per week) with opportunities for growth within the organization as we expand.

  • Check in with the Admin/Support Team via Google Chat
  • Allocate assessments using Q-Global
  • Communicate with therapists and support school contract needs (e.g., KUSD and MUSD)
  • Approve therapist time logs in MyHours
  • Follow up with team members and collaborate with families and staff
  • Support clinic and school operational efficiency improvements
  • Attend check-in meetings with the Director of HCBS and Billing Operations
  • Prepare for and participate in Weekly Admin Meetings
  • Track and enter performance metrics in Simple KPI
  • Monitor therapist documentation and follow up on outstanding DSCTOP notes
  • Review and approve therapist timesheets for payroll (15th & 31st)
  • Submit expense reports via ZoHo
  • Enter monthly KPIs into Simple KPI
  • Attend monthly Culture Committee meetings
  • Send invoices and activity logs to school districts via MyHours
  • Post internal updates and reminders on Workplace
  • Share resources and create team shout-outs using Canva
  • Conduct audits of therapist credentials, billing, and SLPA/COTA supervision
  • Support recruitment and onboarding for school and HCBS providers
  • Attend TSC-hosted events and strategic planning meetings
  • Conduct individual check-ins with school team members
  • Help plan and attend company events (Holiday Party, Anniversary, Friendsgiving)
  • Reach out to school districts to assess service needs for the upcoming year
  • Participate in hiring events (ASHA, ArSHA, TSHA, and local university career fairs)
  • Onboard and offboard school and HCBS therapists
  • Conduct 90-day check-ins with school therapists and HCBS providers
  • Maintain and update member and provider profiles
  • Coordinate bilingual evaluations
  • Create departmental SOPs and documentation
  • Screen applicants and conduct phone interviews for HCBS roles
  • Support updates to service goals based on PCSP changes
  • Design visual content and internal flyers using Canva
  • Strong verbal and written communication skills
  • Exceptional follow-up, organization, and task management
  • Experience with hiring, onboarding, and compliance in therapy or healthcare settings
  • Familiarity with school contracts, RFPs, and provider supervision
  • Proficiency in Google Workspace, Q-Global, MyHours, ZoHo, Canva, BreezyHR, and Simple KPI
