Company Summary

CRISP Shared Services (CSS) provides technology and HR infrastructure support for the Connecticut state-wide health information exchange (HIE), Connie, a 501c3 established through state statute in 2019. Connie’s mission is to enhance the health and well-being of Connecticut residents through the provision of health information technology services. Connie supports clinical decision-making, keeps patient medical health information confidential and secure, and advances the state’s public health goals. Job Summary

The Executive Coordinator role requires a high level of productivity and the ability to work autonomously. The level of work Connie’s staff performs is held to high standards and key traits like task management, problem solving, and clear and timely communications are paramount.

The Executive Coordinator is responsible for providing administrative support to the Connie Executive and Finance & Administration teams, as well as providing Board Secretary and Advisory Committee support. A high-level description of the role is outlined below.

Requirements

Essential Duties and Responsibilities

Include the following. Other duties may be assigned. 

Administrative Support – Connie Executive Team

  • Act as liaison between the organization’s executives and other internal/external parties for all meetings.
  • Identify and anticipate the need for pre-meetings and/or preparation time for future key meetings.
  • Use the prescribed appointment setting methodology to ensure required details are present and efficiency of time is maximized.
  • Review, confirm, follow-up, and adjust calendar entries proactively.
  • Monitor company email and voicemail.

Administrative Support – Finance & Administrative Team

  • Monitor and maintain documentation and inventories of vendor files, process documentation, contracts, and subscriptions.
  • Ad hoc duties and special projects, as needed.

Board Secretary & Advisory Committee Support

  • Confirm quorum met in advance of scheduled board and advisory committee meetings.
  • Ensure meeting minutes are prepared timely.
  • Monitor member appointments to ensure they are current.

Qualifications and/or Experience Requirements

To perform this job successfully, the incumbent must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.   •  4-6 years experience in a similar role.
  • Intermediate level Microsoft Office experience with Outlook, Word, Excel, and Teams.
  • Strong computer skills.
  • High level of organization and communication skills.
  • Operate in an efficient, effective, and responsive manner.
  • Ability to multi-task, prioritize, and change course, as necessary.

Compensation and Hours

  • Targeted base salary: $30 per hour, based on experience and qualifications.
  • Hours Per Week: PT Contracted Position – 15 hr/wk
