Position Summary:
The Faith Formation Office Assistant provides administrative support to various Parish offices, including but not limited to: Faith Formation office, RCIA Coordinator and Teen Life Coordinator. This position will also perform various clerical and office administrative duties as is needed and may be required to work some evenings and weekends as needed.
Essential Duties and Responsibilities:
Welcomes and interacts with parishioners and visitors
Provides general information by responding to administrative inquiries and directs people or calls to the appropriate Faith Formation Coordinator as needed
Manages family registrations, affirms that registration forms are complete with necessary sacramental copies
Collects and maintains sacramental records, family records, and faith formation records
Prepares responses to correspondence as directed
Assists in collecting faith formation fees, maintaining rosters, preparing registration deposits and records accordingly
Enters information into the web management system regarding faith formation attendance records, schedules and sacramental record information
Responsible for forwarding all sacramental documents to Parish Office for certificate preparation
Assists faith formation staff with retreats and various projects
Files and retrieves organizational documents, records, and reports
Maintains confidentiality in all aspects of staff and parish information
Creates and modifies documents such as invoices, reports, memos, letters and financial information
May conduct research, compile data and prepare documents for supervisor review
Prepares agendas and makes arrangements for meetings
Other duties as assigned by Supervisor
Requirements
Qualifications:
College preferred, or high school diploma and/ or 2-3 years related experience
Minimum 2 years previous ministry experience in a Catholic environment required or administrative role
Proven ability to work as part of a team promoting a cohesive positive work environment
Proven ability to communicate with all levels of management and staff
Experience with MS Office (Word, Excel, Outlook, PowerPoint)
Must be detailed-oriented, with excellent organizational skills and self-motivated
Proven ability to multitask, and complete projects in a timely manner
Must be flexible as work hours will vary
Preferred Qualifications:
Bilingual (English and Spanish)
Previous general office/administrative experience
Experience and/or ability to learn ParishSOFT
Excellent communication skills (oral and written), with the ability to communicate to various levels of management and staff
Ability to work in a team atmosphere, fostering a positive work environment
Physical Demands/ Work Environment:
While performing the duties of this job, the employee is frequently required to stand, walk, sit, and occasionally required to climb stairs; balance; stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds with assistance if needed. The noise level in the work environment is usually moderate.
