Job Summary:

We are seeking a detail-oriented and self-motivated individual to join our team as a Form and Document Management Specialist. This part-time role is responsible for updating, creating, maintaining, and organizing internal and external documents and forms used across the company. The ideal candidate will be adept at using Microsoft Word, Adobe tools, SharePoint, and Microsoft Teams, and can meet tight deadlines with minimal supervision.

This position is well-suited for college students, retirees, or individuals looking for a flexible side job with consistent expectations and deliverables.

 

Key Responsibilities:

  • Update and maintain company forms and documents in line with branding and document standards
     
  • Create new documents as needed using Microsoft Word and convert to fillable PDFs with Adobe tools
     
  • Ensure all documents are properly approved, archived, and accessible in SharePoint
     
  • Work closely with department leads to gather requirements for new documents and ensure accuracy
     
  • Maintain a clean and well-organized document repository
     
  • Assist staff in locating, understanding, and using updated forms
     
  • Track and complete tasks by required deadlines with minimal revision after initial draft
     
  • Communicate regularly via Microsoft Teams and email to stay aligned with team needs
     
  • Report in person at least once a week for coordination and accountability
     

Requirements

 

Qualifications:

  • Strong proficiency in Microsoft Word, Adobe Acrobat (Pro), Teams, and SharePoint
     
  • Experience managing digital files, forms, or documents in an organized manner
     
  • Proven ability to work independently and take ownership of assigned tasks
     
  • Excellent attention to detail and written communication skills
     
  • Ability to meet strict deadlines and adapt to changing priorities
     
  • Professional demeanor and strong sense of responsibility
     

Preferred:

  • Prior experience with document control or administrative support
     
  • High school diploma or equivalent; higher education or certifications welcome but not required
     

Physical Requirements:

  • Ability to sit at a computer and type for extended periods
     
  • Ability to lift up to 10–15 pounds occasionally (e.g., paper files or office supplies)
     

Performance Metrics (KPIs):

  • Timely completion of assigned document tasks
     
  • Minimal edits required after first draft of new forms
     
  • Accuracy and compliance of forms with company standards
     
  • Responsiveness to team communications and task requests
