Job Description - Front Desk and Events Assistant (Part-Time)



Part-time


Description

The Facilities & Events team is looking for a part-time employee to work at the front desk and help with events onsite. 

Duties of the Front Desk Assistant Include:

  • Sitting at the front desk, greeting personnel as they enter the building.
  • Meeting and giving building access to approved visitors and vendors.
  • Answering phones and transferring calls.
  • Responsible for key sets during the length of the shift, unlocking rooms as needed.
  • Accepting mail delivery [USPS and delivery services such as Amazon, FedEx, and supply vendors], sorting, and distributing mail items.
  • Distributing, tracking, and filling office and kitchen supplies. 
  • Reporting building issues to Director of Facilities.
  • Enforcing building and safety policies, sometimes as the only liaison between Chicago Theological Seminary and outside visitors.

Duties of the Events Assistant Include

  • Assisting in setting up classrooms, chapel, and dining hall spaces for classes and events. Includes setting up and tearing down events equipment such as tables, chairs, podiums, stage, etc.
  • Operating, setting up, and troubleshooting audiovisual equipment including projectors, microphones, and more (training provided).
  • Being “on call” for outside events requiring a worker to be present for the duration of event until the last visitor has left the building. Includes greeting client, liaising with building security, assisting with equipment troubleshooting and last-minute requests, etc.
  • Lifting/moving of tables, altars, and equipment sometimes weighing more than 40 pounds (with a team member).
  • Maintaining tidiness in chapels, classrooms, common areas, restrooms, and other areas inside and outside of the building.
  • With training provided, assisting in emergency procedures in the building such as an evacuation, fire, severe weather, etc.
  • Organizing AV and building equipment, reporting to the Director of Facilities if repairs are needed.

  

Additional Duties of the Front Desk & Events Assistant Include:

  • Discerning who is an approved visitor (training provided)
  • Providing information and assistance to visitors
  • Occasional light cleaning and trash management in coordination with Director of Facilities
  • Occasionally running errands or picking up supplies (mileage reimbursable)

Note: While the worker may be asked to perform any of the above tasks, they are not daily or even weekly occurrences. The Director of Facilities will be happy to discuss a typical shift and weekly list of responsibilities during the interview process.


Requirements

  

Ideal candidate will have/be able to:

  • Punctual
  • Good communication skills, the ability to read and answer emails and texts and respond in a timely manner, the ability to answer phones professionally
  • Ability to work well with a team as well as individually
  • Ability to run/troubleshoot audiovisual equipment alone or learn to do such tasks.
  • Takes direction well
  • Self-starter and a problem solver
  • Extremely reliable and takes accountability for their actions
  • Excellent customer service skills
  • Ability to promptly and accurately report/solve issues that arise
  • Actively find work to be done (there is always work to be done)
  • Flexible and willing to adapt new procedures
  • First-Aid certified (preferable)

Pay Rate: $16.60 per hour.

Work Schedule and Approximate Number of Hours: 

Hours will start at 12 hours per week, with at least two [2] shifts covering the front desk, but may increase or decrease depending on weekday availability. Hours could go higher depending on skill level and availability to work scheduled events. Availability to work evenings and Saturdays is required. Events are typically set two [2] weeks or more in the future, so evening and weekend shifts can be scheduled with advance notice and planning. This position reports to the Director of Facilities and Events.
