Job Description - Front Desk Coordinator - Towne Lake

We are looking for a friendly and highly organized part time Front Desk Coordinator who can warmly welcome students and parents, manage scheduling and communication with precision, and support daily office operations to keep things running smoothly. 


The ideal candidate is detail-oriented, proactive in anticipating scheduling needs, comfortable handling phone and in-person interactions, and eager to assist with administrative tasks, light marketing efforts, and occasional test proctoring.


Front Desk Responsibilities:

  • ​Graciously welcoming parents and students when they arrive at the office.

  • Answering the phone to take messages for the Location Director to attend to during the following day. Checking scheduling email periodically for any scheduling related emails that come in in the evenings and/or weekends; updating Academic Coaches of time-sensitive changes to their schedules.

  • Assisting the Location Director with administrative tasks, including keeping the office organized and clean and maintaining inventory of our textbooks, supplies, and snacks; ensuring that the office is tidy at the end of each day; completing light cleaning as needed (such as wiping down desks, vacuuming, emptying trash bins).

  • Updating spreadsheets as needed to track student hours/attendance.

  • Checking the weekly session calendar on our scheduling system to ensure there are no double-bookings for clients or Academic Coaches. Utilizing scheduling software to update Coach calendars to reflect any time sensitive changes.

  • Reviewing the schedule so that it accurately reflects Academic Coach availability, including time off. 

  • Assembling welcome bags/gift bags for new students and/or for special occasions such as holidays or before major tests.

  • Proctoring mock ACT, SAT, and/or ISEE exams (typically on Sunday mornings during school year)

  • Grading and scanning mock tests 

Marketing:

  • Assisting with The Enrichery’s social media posts by providing photos/content as requested.

  • Creating employee profiles on a Canva template for new employees to be added to our website.



Requirements

  • Friendly demeanor with strong communication skills; comfortable talking to clients on the phone.

  • Exceptional time management and organizational skills.

  • Social media knowledge is preferred but not required.

  • Attention to detail and intentionality about scheduling; ability to anticipate scheduling needs ahead of time.

  • Strong problem solving skills.

Hours:

Front Desk Coordinator Hours from now until June 1st:

  • Mondays, Tuesdays, Wednesdays, and Thursdays from 4:30 pm-9:30 pm and Sundays from 9:30am until 5:30pm

Front Desk Coordinator Hours from June 1st until Mid-August: 

  • When hired, the Front Desk Coordinator can select whether they’d prefer to work Monday through Friday from 9:00am until 2:00pm or Monday through Friday from 2:00pm to 6:00pm

    • *Note that we are still open during most school holidays (including Memorial Day and Labor Day).

This position is typically a seasonal/school year position needed from now until the end of next May (2026).
