Job Description - Front Desk Receptionist - The Skin Revitalizing Center

Job Summary:  The front desk receptionist of the Skin Revitalizing Center (SRC) is an integral part of our SRC team.  We rely on our front receptionists to represent our office with their warmth and hospitality to our patients.  Our front receptionists have the potential to make an instant impression that will stay with the patient for the duration of their visit.  The ideal receptionist is friendly and presentable with a passion for skincare and a desire to help our clients feel their best. 



Job Duties and Functions:



  • Must be punctual and able to demonstrate reliable and regular attendance.

  • Able to open and close the facility following all internal protocols.

  • Presents a warm and welcoming persona to guests and coworkers alike through superior customer service skills.

  • Maintains knowledge of all available products and demonstrates the ability to confidently make recommendations as needed.

  • Maintains inventory of products and assists with the development of monthly specials and promotional materials.

  • Works with the team on the coordination of a large-scale annual community event and any other special events as needed.

  • Answers the phone promptly and with courtesy and responds to questions and concerns with professionalism.

  • Ability to schedule, cancel and reschedule appointments efficiently following provider template preferences, room and equipment availability, and appointment duration parameters.

  • Familiar with all product rewards systems and is able to redeem and track patient and practice rewards accurately.

  • Monitors the SRC email and responds to patient and vendor inquiries in a timely fashion.

  • Assists the SRC providers as needed with room preparation, laundry, maintaining backbar supply, etc.

  • Participates with the recruitment and retention of patients by sending follow up thank you cards, reminding them of expiring rewards, inviting them to special events, etc.

  • Works with the team on marketing initiatives including appearing in social media videos and posts.

  • Maintains the presentation of the waiting room and works with the team on season appropriate decor and presentation throughout the year.



Knowledge/Skills/Abilities: 



  • High school diploma a must. Associates degree in marketing or business preferred.

  • 3 years of experience in an office setting required.

  • Prior knowledge and experience working in the skincare or esthetics industry is preferred.

  • Confident ability to handle financial transactions (credit or cash or gift card redemptions).

  • Proven working knowledge of office equipment such as printers, fax machines, postage machines, computers and scanners.

  • Excellent phone etiquette and a unique ability deescalate difficult situations.

  • Ability to multi task and work under pressure.

  • Ability to communicate clearly and concisely.

  • Ability to establish and maintain positive relationships with employees, physicians, and management.



Environmental Working Conditions: 



Must be able to work in an office environment and sit at a desk for an extended period of time. Must be able to work on a computer for 3-4 hours at a time.

Physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is occasionally required to stand; walk; sit; use hands to finger; handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear; taste or smell. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, and the ability to focus. Requires visual acuity and normal color perception.

  1. Low –information access is of general nature representing summary type data rather than specific identifiable demographic or sensitive data.

  2. Medium – information access is specific to an individual’s demographics and service information (type of service, services received, dates of service, and provider of service).

  3. High – information access is detailed and sensitive to an individual’s demographics, service information, and personal medical history (past/present medical conditions, specifics of medical diagnosis or tests, treatment plans, and family history).

Special note: Due to the unique operational needs of our clinics, we may request that our employees work in a different site from the one they were originally scheduled in.  Sometimes these requests are planned and sometimes they are spontaneous and could be after the employee has reported to work for the day.  Reasons for these requests vary but they are mainly is to ensure coverage in case of high patient volume, unscheduled absences from other staff, etc.  Therefore, we require all our employees to have a valid and unrestricted driver’s license.  Mileage reimbursement will be paid in accordance with our Mileage Reimbursement Policy.
