Job Description - Fundraising & Sponsorship Coordinator

Description

Aspen Ridge Preparatory School is seeking a dynamic and detail-oriented Fundraising & Sponsorship Coordinator to lead and grow our school’s development initiatives. This position is responsible for overseeing all fundraising activities and managing sponsor relationships to support school programs and long-term sustainability.

Working closely with the Communication & Engagement Specialist and other stakeholders, the Fundraising & Sponsorship Coordinator will plan and execute a variety of fundraising events and campaigns, steward and grow business sponsorships, and ensure effective and meaningful communication with all supporters.

Requirements

 Position Details:

  • Employment Type: Part-time
  • Status: Salaried, Non-Exempt 
  • Schedule: Hybrid/Remote as required for duties
    • Additional evening and weekend hours as required for fundraising events
    • Standard hours Monday through Friday; 4 hours per day. Flexible between 8:00 AM and 4:00 PM
  • Reports to: Business Manager

Key Responsibilities:

Sponsorship Coordination

  • Maintain and grow positive relationships with local business sponsors.
  • Renew existing sponsorships and proactively identify and secure new sponsors each school year.
  • Review and revise sponsorship program offerings annually to ensure alignment with school goals and community interests.
  • Track and manage sponsor benefits to ensure timely and consistent fulfillment.
  • Collaborate with the Communication & Engagement Specialist to promote sponsors via newsletters, social media, and other public-facing communications. 
  • Serve as the primary point of contact for all sponsor inquiries and communications.
  • Ensure timely and meaningful acknowledgment of all sponsors, including thank-you messaging and year-end recognition.

Fundraising Coordination

  • Plan and execute the school’s annual Spring Gala fundraiser, including:
    • Event logistics and budget tracking
    • Volunteer recruitment and coordination
    • Donor and sponsor solicitation
    • Auction planning and management
    • Marketing the event in coordination with the Communication & Engagement Specialist
  • Coordinate monthly restaurant spirit nights and other community-based fundraising events.
  • Oversee the school’s spirit wear store, updating design offerings, coordinating with print vendor, and troubleshooting ordering issues for families.
  • Lead and manage the annual Colorado Gives Day campaign, including messaging, engagement, and donor follow-up.
  • Coordinate with the school’s PTO to align and streamline fundraising efforts across the school community.
  • Research and implement new fundraising ideas and strategies to support the school’s mission and financial goals.
  • Ensure prompt and personalized donor acknowledgment, including thank-you notes, tax letters, and public recognition when appropriate.

Qualifications:

  • Bachelor’s degree in a related field
  • 2+ years of experience in a nonprofit and/or educational setting
  • Experience in event planning, fundraising coordination, or donor relations
  • Familiarity with sponsorship programs, donor management, and community engagement
  • Proficiency with basic data tracking tools (e.g., Excel or Google Sheets)
  • Strong understanding of the importance of mission-driven communication and fundraising

  • Strong written and verbal communication skills
  • Strong interpersonal skills with the ability to interact positively and professionally with a wide variety of stakeholders, including volunteers, parents, staff, and business owners
  • Ability to multitask and manage complex events or projects with many moving parts and competing deadlines
  • Creative problem-solver with the ability to troubleshoot challenges, adapt quickly, and offer thoughtful solutions
  • Highly organized, detail-oriented, and self-motivated
  • Ability to work both independently and collaboratively as part of a team
  • Comfort with public speaking and community outreach
  • Strong follow-through and a commitment to donor and sponsor stewardship
