Reporting to the Executive Leadership Team, the Grants and Compliance Specialist is the primary point of contact for their assigned clients, including managing client onboarding, drafting proposals and work agreements, and tracking client requests, projects, and deliverables. In coordination with the Executive Leadership Team, this position will conduct financial reviews, support compliance audits, and address regulatory requirements to their clients. In conjunction with the Grant and RFP writing team, this position works to develop grant proposals, review proposals prior to submission, and perform post-award compliance and reporting.
Essential Duties and Responsibilities
Roles and Responsibilities include, but are not limited to the following:
Proposal Writing:
Supports proposal development activities for grants, contracts, Request for Proposals, or other funding mechanism for the Company or Company’s Clients.
Identify and review funding opportunities
Background research
Creating letters of intent, case statements and/or other templates
Crafting proposal narrative sections
Drafting budgets and budget justifications
Drafting ancillary documents
Review and editing of proposal sections
Proposal submission
Follow-up on submitted proposals
Collaborate with clients and internal team members to develop and implement strategist to enhance the competitiveness of proposals
Creates schedules and tracking calendars.
Attends client meetings as needed.
May register the Company or Company’s Clients in application portals or procurement systems.
May schedule and participate in Client or Company meetings.
Post-Award Compliance:
Advises on grant implementation.
Reviews contract terms and conditions.
Identifies, plans, and implements compliance activities in accordance with all applicable internal and external policies and regulations.
Conduct risk assessments for projects and recommend development or modification of policies, procedures, and systems as needed.
Prepares and delivers progress reports, project documentation, budget reconciliations, procurement forms, and other contract related documents.
Assists with closeout requirements and final reporting, including reviewing financial and programmatic reports, ensuring compliance with grant requirements and addressing any findings or deficiencies as needed.
Tracks reporting deadlines and managing documentation in order to ensure timely and accurate submission.
Provides training and technical assistance to clients and other external stakeholders as necessary.
Ensures a high level of transparency and responsibility in all grant and compliance-related activities.
Creates positive relationships with clients and sponsor agencies.
Other Activities:
Assists in the tracking of Company and Client projects.
Updates project status in the Company’s project tracking system.
Organizes documents and files.
Prepares reports and updates as requested by the Executive Leadership Team.
Participates in weekly and ad-hoc meetings as necessary.
Works collaboratively with colleagues and freelancers.
Participates in training and professional development opportunities.
Assures that the Company is professional and in compliance with all policies, regulations, and laws related to proposal development and post-award compliance.
Other duties as assigned.
Position Requirements, Competencies and Qualifications
Bachelor’s degree preferred.
Three or more years of relevant experience in proposal writing, capacity building or other related fields.
Three or more years of experience working with community based organizations, non-profit organizations, or local government organizations.
Three or more years in grant administration/grant management compliance.
Technical fluency with Microsoft Suite, Adobe DC, and Google.
Valid driver’s license and a clean driving record.
Ability to pass a background check.
