Job Description - HR Administrative Assistant



Part-time


Description

Promptcare is seeking a proactive and organized HR Administrative Assistant to support both administrative operations and HR initiatives. This role plays a key part in fostering employee engagement, managing internal communications, cultural programming and occasionally assisting the HR team with recruitment, onboarding, and compliance.

Reports to: VP of Human Resources 

Job Type: Part-Time, 20 hours per week.

Job Location: New Providence, NJ  

 


Requirements

  • An associate degree is preferred. However, relevant experience may be considered in lieu of formal education
  • Must have at least one year of experience supporting multiple office departments is a plus
  • Strong organizational and time-management skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Familiarity with calendar management, travel booking, and expense reporting tools
  • Ability to handle confidential information with discretion

Job Responsibilities, included but not limited to:

  • Provide backup support for mail management and distribution
  • Manage employee badge issuance and tracking
  • Support HR and marketing correspondence and internal communications
  • Collaborate with HR Onboarding Specialist on PC Pulse content procurement and distribution
  • Plan and execute holiday and cultural activities to promote workplace inclusion
  • Lead the Employee Spotlight program to recognize team contributions
  • Coordinate health screening follow-ups and maintain related documentation
  • Maintain office supply inventory and ordering processes
  • Additional duties include supporting the HR team with tasks such as coordinating recruitment activities, facilitating onboarding processes, tracking compliance requirements, and contributing to employee engagement programs

Physical Demands

The physical requirements outlined here are indicative of what an employee must meet to effectively carry out the essential functions of this role. While performing job duties, the employee is frequently required to communicate verbally and listen attentively. The role necessitates the ability to lift files, open filing cabinets, and bend or stand as needed. Additionally, the position occasionally requires lifting office products and supplies weighing between 20 and 30 pounds.
