Job Description - Lead Advanced Practice Provider - PREP

Spectrum Healthcare Partners is Maine’s largest multi-specialty, physician-owned and directed professional organization and is comprised of over 200 physicians practicing in the areas of anesthesiology, orthopaedics, pain management, pathology, radiation oncology, radiology, and vascular & interventional services. Spectrum provides services at many of Maine’s hospitals throughout the state and in eastern New Hampshire.

POSITION SUMMARY
The Lead Advanced Practice Provider (APP) within the preoperative process is a key clinical and administrative role responsible for ensuring high-quality, patient-centered care in the preoperative setting. This individual will oversee and support a team of APPs, contribute to clinical operations, lead protocol development, and manage workflow improvements that enhance patient care and efficiency. The Lead APP also plays an essential role in onboarding, education, and ongoing professional development of APP colleagues.  Provides customized clinical services for all patients undergoing anesthesia care.

ESSENTIAL FUNCTIONS
Lead Responsibilities
  1. Acts as the clinical lead for the APP team, ensuring consistent and evidence-based practices across providers.
  2. Develops, maintains, and updates clinical protocols and care pathways to ensure safe and efficient patient optimization.
  3. Collaborates with interdisciplinary teams to align protocols with best practices and institutional policies.
  4. Assesses, revises, and implements improvements in patient triage and flow within the preoperative process.
  5. Monitors key performance indicators and identify opportunities to streamline processes and reduce bottlenecks.
  6. Develops and manages the APP clinical schedule to ensure adequate coverage across all clinic hours and service needs.
  7. Serves as the point of contact for APP-related issues, including workflow, performance, and scheduling concerns.
  8. Leads regular team meetings and contribute to broader departmental meetings as a representative of the APP team.
  9. Orients and onboards new APP staff, providing mentorship and support during their transition.
  10. Plans and delivers ongoing education sessions, journal clubs, and case reviews to support continuous professional development.
  11. Fosters a culture of excellence, collaboration, and accountability among APP colleagues.
  12. Provides leadership and guidance to facilitate growth and development of each PREP Advanced Practice Provider (APP); resolve conflicts among the APP team through open and direct communication. Assist Medical Director in conjunction with Practice Director in setting guidelines for acceptable job performance.

PRIMARY RESPONSIBILITIES
  1. Provides expert clinical care to patients undergoing preoperative assessment and optimization
  2. Obtains complete medical, anesthesia and medication history for patients through an interview process. 
  3. Collates, reviews, and interprets medical records of patients; obtains additional medical information as may be required.
  4. Prepares and organizes a clinical pre-anesthesia history and physical record prior to anesthetic event.
  5. Based on initial pre-anesthesia assessment, makes necessary recommendations for proper perioperative care for an anesthesiologist who may suggest additional studies or request further information.
  6. Provides patient education, reviews test results, and assists patient with procedural understanding for proper perioperative experience.
  7. Makes recommendations to the anesthesiologist and hospitalist that helps to identify other diagnostic tests, as well as refers patients for specialist consultation and other therapeutic and diagnostic services, when necessary.
  8. Accurately documents anesthesia and medication history for the anesthesia record, in coordination with the PREP nursing staff.   This includes other anesthesia data summary forms to support proper patient care.
  9. Interacts with patient’s primary care physician, attending surgeon, sub-specialists as well as secretarial and nursing staff employed by the hospital.
  10. Helps to identify high-risk patients for an anesthesiologist or hospitalist interview prior to clinical procedures.
  11. Maintains appropriate level of Company & facility HIPAA-related confidentiality
  12. Maintains competency by reading professional literature, participating in continuing education, and maintaining professional affiliations.
  13. Attends required hospital staff and anesthesiology-related meetings and participate in various clinical committees, as required.
  14. Administers special clinical-related projects or other duties as assigned by the Medical Director PREP
  15. When necessary, notifies state authorities of any required reporting of potential domestic or child abuse situations
  16. Ensures the development of strong positive relationships and collegiality among the PREP APP staff, Anesthesiologists and facility staff.
  17. Demonstrates professionalism at all times
  18. Displays cooperative behavior and interacts positively and effectively with others to promote a team environment
  19. Performs other duties necessary to maintain the overall efficiency and continuity of the clinic
  20. Is proactive in identifying, reporting and participating in the resolution of any potential or actual patient safety issues

QUALIFICATIONS
  • Graduate of an accredited school with a degree as a Physician Assistant or a Nurse Practitioner, FNP
  • Current license issued by State of Maine or eligible for licensure
  • 2+ years’ experience in a surgical, PAU or other specialized clinical setting
  • Previous lead/supervisory experience or demonstrated skill in leading teams and projects
  • Current DEA license
  • Current BLS
  • Skilled in taking medical history, assessing medical condition and interpreting findings
  • Highly organized, personable and familiar with the process of preparing patients for surgery
  •  Strong relationship-building skills, with previous experience working with PREP administrators and nursing directors
  • Knowledge of the professional medical practice and appropriate care to deliver and evaluate patient care
  • Skills in preparing and maintaining records, writing reports, and responding to appropriate patient/physician correspondence
  • Proven communication skills and excellent customer service skills
  • Skills in developing and maintaining department quality assurance
  • Ability to work effectively as a team member and independently
  • Dedicated to the highest quality patient care and furthering a positive PREP experience
  • Excellent customer service skills
  • Proficient computer skills with knowledge of electronic medical records
  • Ability to maintain confidentiality

PHYSICAL DEMANDS / WORK ENVIRONMENT

  • May be required to stand or sit for long periods of time while attending clinical duties
  • Operation of various business-related equipment; photo copying, computer, telephone, filing
  • Travel to various sites of clinical service may be required
  • May encounter patients who are undergoing clinical care that exhibit difficult or challenging behavior during clinical prep
  • Exposure to blood borne pathogens, anesthetic-related agents and medications, communicable diseases, toxic substances, ionizing radiation, may occur; use of appropriate measures is required for safety controls and techniques
  • Occasional bending, reaching, lifting
