Position Summary

The Neighborhood Services Secretary provides essential administrative support to the Neighborhood Services Division, with a primary focus on supporting the MyHometown program. This part-time role includes a variety of secretarial tasks to help ensure the efficient operation of the department and effective communication with residents and stakeholders.

Starting Pay: $19.55 per hour; additional pay depending on experience

FLSA Status: Non-Exempt

Schedule: Part time; Monday-Thursday 4x5-hour day shifts with flexible hours

Posting Close Date: May close any time after May 18th, 2025


Essential Duties and Responsibilities

  • Perform general clerical and secretarial duties including data entry, filing, scheduling, and document preparation.
  • Assist with phone calls and emails from residents, partners, and internal staff.
  • Support the MyHometown program with administrative tasks such as: Printing materials and forms, Placing and tracking supply orders, Coordinating and processing volunteer agreements, and Managing completed forms and maintaining records.
  • Maintain accurate and organized files (both physical and digital).
  • Provide courteous and professional customer service to all program participants and community members.
  • Coordinate with other departments and community partners as needed.
  • Provide staff assistance to City committees as assigned.
  • Perform other related duties as assigned.

Qualifications

  • Enthusiastic, organized, detail-oriented, and able to prioritize projects and meet deadlines.
  • Proven experience in an administrative or secretarial role preferred.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficient with Microsoft Office (Word, Excel, Outlook) and general office equipment.
  • Ability to maintain confidentiality and handle sensitive information.
  • Self-motivated with the ability to work independently and as part of a team.

Education and/or Experience

  • High school diploma or GED required.

Language Skills

  • Must be able to communicate fluently in English both verbally and in writing.
  • Spanish fluency preferred.

Certificates, Licenses, and Registrations

  • Possession of a valid Utah Driver’s license and the ability to drive to meetings throughout the community.

  • Exposure to varying levels of stress due to human behavior, workload, deadlines, and multiple tasks and assignments.
  • May need to work extended irregular hours when needed.
