Description

Balanced Body is hiring! We are seeking a proactive, organized, and personable Office Administrative Assistant to serve as the first point of contact for visitors and provide critical support across multiple administrative functions. This role ensures smooth daily operations of our office, supports cross-functional teams, and helps maintain a welcoming, efficient workplace environment.


Requirements

Front Office Support and Supply Management:

  • Serve as the first point of contact for all visitors and vendors, ensuring a professional, welcoming experience and directing them appropriately.
  • Manage the check-in process, including maintaining the visitor sign-in sheet; Ensure visitors are connected with the appropriate staff member.
  • Organize and maintain office supply inventory and supply room; order supplies.
  • Refill utensils and restock supplies in both breakrooms, track inventory and order replenishment.
  • Keep  the office seating chart and internal phone directory up to date.
  • Process incoming, outgoing, and returned mail.
  • Fulfill  requests for material samples (color swatches, wood, and mat samples) and customer catalogs, ensuring all items are mailed and delivered in a timely manner.
  • Ensure  the material sample area is well-organized, fully stocked, and clearly  labeled, including color swatches, wood, and mat samples; regularly audit inventory levels and restock or reorder as needed to support timely fulfillment.

Meeting, Event & Support:

  • Order food for meetings and ensure timely delivery and setup; assist with cleanup afterward.
  • Manage conference room calendars and resolve scheduling conflicts.
  • Partner in managing the company’s on-site studio, including tracking equipment, scheduling usage, and maintaining cleanliness and organization.

Internal Team Support:

  • Assist in the coordination and scheduling of on-site Pilates classes for staff.
  • Participate in Fresh Team activities (approx. 1–2 hours per month), supporting company culture and team engagement.
  • Provide comprehensive support for travel planning and booking, including researching travel options, coordinating itineraries, arranging accommodations and transportation.

Qualifications:

  • Minimum 2 years of administrative or office coordination experience.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with scheduling and managing calendars.
  • Experience with visitor management and front office operations.
  • Familiarity with inventory management and office supply coordination.
  • Ability to assist with travel planning and document processing. 
  • Strong organization, attention to detail and multitasking skills.
  • Effective communication and interpersonal skills. 
  • Ability to manage multiple responsibilities in a fast-paced environment.

 

Work Environment:

This position is on-site and requires physical presence at the front desk/reception area. The role involves occasional lifting of supplies, walking between departments, and setup/takedown for meetings.

Part Time Schedule and Salary:

Fully On-site in Sacramento 

Monday – Friday 10:00AM – 3:00PM 

25 hours per week - Part Time with the opportunity to move Full Time

$19-$22 hourly
