Job Description - Office Coordinator (Part-time)


Delve is seeking a highly organized and proactive Office Coordinator to manage day-to-day office operations and logistics. This role ensures the office runs smoothly, providing essential support for internal and customer-facing events, facilities management, and general administrative duties. The ideal candidate is detail-oriented, resourceful, and able to balance multiple priorities while maintaining a welcoming and efficient environment. This is a part-time role based in our Boston, MA studio.  

Responsibilities 

Office Management & Upkeep 

  • Maintain a clean and organized office environment. 
  • Manage office supply inventory, including printer paper, toner, and shredding services. 
  • Coordinate regular office cleanups and general organization efforts.
  • Answer incoming phone calls. 


Event Coordination 

  • Organize weekly team lunches, from planning and ordering to setup and cleanup. 
  • Manage logistics for internal and external events, including scheduling, catering, and post-event cleanup. 
  • Oversee client event logistics, including managing invitations, RSVPs, front-door greetings, meal setup, and cleanup. 


Facility Management 

  • Coordinate physical space changes, such as hiring movers and organizing furniture adjustments. 
  • Oversee office space maintenance tasks and ensure timely resolution of issues. 


Administrative Support 

  • Manage project archives and office records. 
  • Ensure vehicle registration and insurance cards are current. 
  • Replenish snacks, beverages, and fresh foods; handle grocery runs as needed. 
  • Distribute mail and packages.
 

Requirements 

  • 2+ years of experience in office management, administrative support, and/or event coordination. 
  • Strong organizational and communication skills. 
  • Ability to prioritize tasks and adapt to a fast-paced environment. 
  • Ability to lift 20 lbs or more as needed.

Preferred Experience  

  • Familiarity with facilities management and vendor relations. 
  • Prior customer-facing experience.
