Job Description - Operations Assistant

The Operations Assistant performs all clerical & administrative duties as assigned for the Operations Department. Including but not limited to typing, filing, mailings, phone calls, correspondence, event postings, event planning, settlements, purchase orders. note taking, event signage, and direct scheduling of appointments for staff. Position will also assist Event Planners, as required, in all event-planning efforts necessary to meet customer needs. This position reports to The Director of Event Services.

This position is a true part-time role with an estimated 15 hours a week.


 


Typical work routine includes, but not limited to:


 



  1. Administrative & Clerical duties as assigned by Department staff

  2. Meet and greet the clients and guests of the Classic Center in a professional manor whenever applicable and in all cases.

  3. Function as a liaison between users, service providers, and staff of the Classic Center.

  4. Prepare documents, order and bid equipment and supplies as required by the Director of Event Services.

  5. Initiate, process, track, record, assemble and responsibly maintain files and records for all purchase orders and for the Classic Center.

  6. Creating and posting event information and directional signage.

  7. Assist with invoicing and closing files to ensure all deadlines are being meet.

  8. Assist in the maintenance and overall accuracy of the 4 week out event calendar.

  9. Serve as a primary point of contact for Operations when communicating to other departments within the Classic Center as well as any external vendors.

  10. Update, revise, and create department forms and documents.

  11. Assist with scheduling meetings and appointments for department staff.

  12. Assist the Director of Event Services and General Manager with budget management and expense accounting as needed.

  13. Such other duties, functions, and special projects as assigned by the Director of Event Services or General Manager.


 


The candidate chosen for this position will undergo and will need to pass a criminal history background check and a drug screening.


 


Qualifications & Skills:


 



  1. Minimum high school education or equivalent. Preferred participation in hospitality or entertainment management college program.

  2. Preferred at least one years’ experience in the administrative assistants/secretarial field, but not necessary.

  3. Ability to demonstrate competence in written & verbal communication.

  4. Ability to demonstrate competence and experience in computers and software. Typing skills are desired.
