Job Description - Part-Time Mental Health Intake Coordinator

Description

Inspire Counseling Center is a behavioral health center offering Psychotherapy and Psychiatry services for people of all ages. We have 4 offices in Evanston, Kenilworth, Lake Forest and Northbrook with 60+ clinicians, serving approximately 2,000 appointments per month. We are looking for a Part-Time Intake Coordinator (20 hours/week) to work at the front desk at our gorgeous office in downtown Lake Forest and/or Northbrook.  

This role will be the first point of contact for new patients, responsible for registering them, gathering necessary medical and insurance information, scheduling appointments, and ensuring all required paperwork is completed before they are admitted for treatment. This role is INCREDIBLY important and makes a huge impact on people's lives. Not only would you be the first face clients see or hear, you will be a vital and closely connected with the team of therapists. 

The Intake Coordinator will report directly to the Practice Manager and work on a team with other intake coordinators. The Intake Team meets weekly to discuss goals, support each other with challenges and identify growth opportunities for the upcoming week. 

This is a VERY SPECIAL and important role for Inspire. When a person takes a leap of faith to call YOU will be the first voice or face they will meet. Each person's first impression of the business depends on your caring, competent and timely response. Sometimes it is the first time a person has ever reached out for help. It is critical that the intake coordinator is loving, kind, gentle and professionally polished. We want each person to feel safe and heard, while taking care of all the logistics necessary.

The ideal candidate will:

  • Be a warm, compassionate team player with a positive attitude 
  • Attend Intake team meetings (Wednesdays 1pm Virtual or in Northbrook) 
  • Warmly greet patients and staff when they arrive 
  • Answer calls and TEXTs to book new clients, manage cancellations and or/rescheduling 
  • Assist patients with the admissions paperwork 
  • Enter patient information into the Medical Record database and internal Task Management system 
  • Collect health insurance coverage for the Billing Team  
  • Proactively review the call logs to make follow-up calls
  • Compassionately listen to complaints or concerns, notifying management for improvements 
  • Manage the office space and supplies 
  • Proficient with Data entry, detail oriented, basic technology skills

However, we know life and professional plans can change. Due to significant investment in supervision, developing, training and marketing, Inspire requires at least a two year commitment from employees. However, if at any point, you decide to transition out of Inspire, please let us know. We’ll work with you to make it a very positive experience and give you a “red carpet” exit. We want what is best for you and the clients – from start to finish.

Ideal Schedule:

  • Mondays 1pm-5pm (Northbrook) 
  • Tuesdays 1pm-5pm (Lake Forest) 
  • Wednesdays 10am-5pm (Northbrook) 
  • Thursdays 1-5pm (Lake Forest) 

Compensation:

  • $18-$20/hour

Requirements

  • High School Diploma or GED, minimum educational requirement
  • Ability to work onsite in Evanston and Kenilworth (employees are responsible for transportation and/or parking) 
  • Strong customer service skills with the ability to work with diverse people
  • Effective organizational and time management skills
  • Verbal and written communication skills
  • Understanding of health insurance and various medical procedures
  • Ability to use software programs and medical technology
  • Ability to juggle multiple tasks in a fast-paced environment
  • Problem-solving skills
  • Fluency in other languages, a plus 
  • Customer service experience, a plus
  • Previous work with medical software, health insurance and medical terminology, a plus
