Job Description - Part-Time On-Site Pantry Coordinator



Part-time


Description

Deliver excellent customer service while providing food assistance and information to guests who seek food assistance and resource referrals at the Food Bank. Coordinate processes in our on-site food pantry and the online ordering system. Staff the pantry during normal business hours and on Saturdays. Interact with and manage volunteers during the shifts, and ensure a safe and welcoming environment for staff, volunteers, and neighbors. Support the Market team in an environment where the pace quickly changes based on need. A Pantry Coordinator must be able to lift 50 pounds repeatedly and work on their feet for extended periods day after day. 


Requirements

Key Responsibilities: 

Guest service tasks

  • Provide food assistance to neighbors in need with dignity and respect. Always demonstrate a high level of customer service to our neighbors in need.
  • Greet guests, conduct intake via current client record management system, and issue scan cards to neighbors.
  • Provide neighbors with tools to give feedback on their experience in the market.
  • Oversee registration process of guests when assigned by Supervisor.
  • Collaborate with the Resource Center team to provide information and referrals for programs such as SNAP. Work with the Resource Center team to understand guests’ needs beyond food.

Volunteer-related tasks

  • Greet and welcome volunteers to the Market.
  • Direct and coordinate tasks for 30-45 volunteers daily.
  • Prepare volunteers for their shift by providing an overview of the on-site pantry.
  • Introduce Shopping Buddies to the volunteers and explain any duties the volunteers will have during their shift.
  • Coordinate with volunteers to manage inventory. This may include rotating stock, restocking, and organizing shelves, spotlighting items close to code date, and checking-in/checking-out guests.
  • Work with Onsite Pantry Supervisor and Distributions Manager to resolve volunteer issues, collaborating with Community Engagement team members as needed.

Warehouse-related tasks

  • Receive and unpack palletized orders several times each week. This includes lifting and moving boxes of food repeatedly.
  • Be trained on and approved to safely operate all warehouse equipment.
  • Utilize equipment to locate produce and frozen food orders and bring them to the Market.
  • Take inventory of produce items at the beginning and end of each shift. Ensure first in, first out movement of perishable product.
  • Ensure full stocking of shelves in the Market to give neighbors a robust shopping experience.
  • Stay current with required food safety training and certifications.
  • Keep the warehouse space organized and clean throughout the shift.
  • Maintain cleaning records and general cleanliness of the Market.
  • Ensure proper disposal and recording of waste from the Market, including produce. Dispose of trash and cardboard daily.

Order fulfillment-related tasks

Assist with ordering and inventory processes.

Complete online locker orders including printing the orders, filling them, and placing orders into the lockers.

Troubleshoot any locker related issues.

Manage and track existing inventory and order new items in a timely manner.

Collaborate with Operations, Supply Chain Strategies, and other internal teams to determine best inventory practices.

Organizational teamwork

· Monitor temperature-controlled coolers and freezers and record temperatures throughout the day as required.

· Attend all staff programs department meetings and Partner Network and Distribution Programs team meetings as assigned.

· Communicate regularly with other stakeholders related to the on-site pantry: Operations, Information Technology, Community Connections, Community Engagement, and Marketing and Communications.Perform other duties as assigned by management.

Qualifications:

  • Display comfort and joy working with people of different backgrounds, abilities, opinions and perceptions.
  • Ability to lift up to 50 pounds repeatedly and work on your feet for extended periods.
  • Willingness and ability to work weekends as required.
  • Must demonstrate integrity with confidential information.
  • Must be willing to learn food bank specific technology, i.e., food inventory computer system and computerized record-keeping system(s).
  • Excellent organizational, written, and verbal communication skills.
  • Ability to work strategically, collaboratively, and effectively with staff across many departments.
  • Possess a valid driver’s license. Work travel, if required, is reimbursed at the federal reimbursement rate.
  • PA State Police Background clearance, PA Child Abuse History Clearance
