Summary: Assists the General Manager and the Administrative Assistant in carrying out the administration of the policies and procedures of the Association. Under the supervision of the General Manager and Administrative Assistant, provides assistance to the Association in the area of general reception and office duties. Assists the administrative staff in providing customer service to the residents and homeowners. Assists the Recreation Director with preparations for recreational activities. Requires direct contact with staff, Board Members, Committee Members, homeowners, vendors, and the general public.

Requirements

Schedule:

Monday – 12:00 pm to 5:00 pm 

Essential Duties and Responsibilities:

  • General Reception/Customer Service.
  • Answer and direct incoming telephone calls and assist callers with information.
  • Greets residents/visitors and provides information and direction.
  • Receives and distributes customer service calls and emails via the work order system.
  • Processes new residents’ set up.
  • Copies and distributes committee minutes, memorandums, reports, etc.
  • Oversees maintenance and administration of telephones and office equipment, maintains balance in the postage machine.
  • Oversees office supplies inventory.
  • Maintains resident files.
  • Opens and distributes mail daily for the administrative office.
  • Practice and adhere to Keystone’s Core Values, Mission, and Vision. 
  • Any additional job duties as required by the supervisor. 

Qualification Requirements:

  • Excellent customer service skills.
  • Proficient in the Microsoft Suite Programs.
  • Strong organizational skills.
  • Good interpersonal skills, including written and verbal communication.
  • Knowledge of general office procedures.
  • Must be flexible with schedule and work on holidays.
  • Excellent interpersonal skills.
  • Strong verbal and written communication.

 

Education and/or Experience: 

  • 1-2 years working in an Administrative field.
  • High School Diploma or GED required.
