Job Description - Program Assistant

POSITION: Program Assistant


DEPARTMENT: Support Services


REPORTS TO: Medical Nutrition Director


STATUS: Part-Time, non-exempt



COMPANY OVERVIEW


LivWell Community Health Services is a non-profit organization providing comprehensive health and support services, education, and advocacy, as related to HIV/AIDS, sexually transmitted diseases, and viral hepatitis. Quality health care is provided to people living with HIV/AIDS or sexually transmitted diseases, support services are provided to HIV clients and their families, and prevention education and testing are provided to all clients, their families, and the community at large. Within the community, we strive to prevent new infections of HIV and STIs and reduce the stigma associated with these various diseases by promoting awareness, acceptance, and equality.


POSITION OVERVIEW


The Program Assistant at LivWell CHS will perform activities related to all departments on an as needed basis. This position will require adaptability and completing different priorities on a day-to-day basis.



JOB RESPONSIBILITIES



  •  Assist with packing of food pantry orders, food distribution, and delivery

  • Work collaboratively with the Case Management Team to update the pantry and transportation list /procedures

  • Transport food pantry orders to clients who do not have a means of transportation

  • Transport clients safely to and from medical, mental health, and case management appointment(s)

  • Assist with receiving weekly pantry orders from suppliers

  • Assist with monthly clothes closet inventory

  •  Assist with distribution of emergency clothes bags

  • Assist with staffing events, making travel arrangements

  • Assist with event preparation, mailings, solicitations, or other duties as assigned

  • Stocking lobby with supplies, brochures, and other preparation tasks.

  • Assist with special short-term office projects, such as compiling manuals, printing and assembling documents, and data entry as assigned.

  • Stocking condoms and literature displays

  • Stickering condoms and other items as needed

  • Entering/ Scanning records and data into databases

  • Assist Medical Department as needed

  • Answering phones, booking new appointments, transferring calls, making reminder calls, collecting insurance information, distributing paperwork, and checking in clients when needed

  • Assist Admin Department as needed

  • Running errands, ordering supplies, and other administrative tasks

  • Developing educational mediums and materials

  • All other duties as assigned



SKILLS NEEDED:



  • Strong Communication Skills

  • Willing to travel within the local Western Kentucky community

  • Competence in Microsoft Office Suite, including Word, Outlook, and Excel

  • Effectively tolerate stressful situations and a fast-paced work environment

  • Interact effectively and consistently with a diverse group of people of different cultures, ages, genders, sexual orientations, disabilities, races and religions

  • Lift up to 25 pounds

  • Must maintain confidentiality of clients



QUALIFICATIONS:



  • High School Diploma

  • Two years’ experience in a grocery store, retail store, transportation, or other public service-related field preferred

  • Have a valid driver’s license in the state of residence and be insurable to drive LivWell CHS’ vehicles
