JOB DESCRIPTION

Position Title: Programs Administrative Assistant                                       Department: Programs
Status: Part-time (25 hours a week)                                                               Reports to: Programs Manager
FLSA Status: Non-exempt                                                                            Revision Date: 01/15/2026
Location(s) – ASYMCA Lodge, JEFC, Family Development Center
 

Basic Job Description: The Administrative Assistant will work closely with the Programs Manager in the areas of volunteer management, customer service, scheduling, event planning, supply, clerical work, and other administrative duties.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. The following duties and responsibilities are those considered to be essential but do not represent all job functions that may be required to be performed by this position. Evening and weekend work may be required.
  1. Drive the JEFC van to transport goods to and from the Junior Enlisted Family Center.
  2. Organize and coordinate volunteer duties. Recruit volunteers and ensure they complete the liability waiver, register in VMIS, and track hours.
  3. Assist with the development of public relations and communications strategies to support program goals and increase community awareness.
  4. Answer phone for Administration. Takes message or field/answers all routine and non-routine questions.
  5. Type and design general correspondences, memos, charts, tables, graphs, etc.
  6. Assist in providing direct and full scope supervisory responsibilities of volunteers, vendors, and staff supporting special events.
  7. Manage multiple projects and assignments from a variety of staff and volunteers.
  8. Accomplish projects with little supervision.
  9. Assist with other duties as assigned.
Knowledge, Skills, and Abilities:
  1. High level of integrity, diplomacy and initiative.
  2. A professional demeanor with an aptitude for analytical thinking and problem solving.
  3. Responsible, well organized, and demonstrate initiative.
  4. Strong proficiency in Windows, Excel, Microsoft Word, Publisher, Social Media.
  5. Must be detail oriented, possess strong organizational and time management skills.
  6. Must have excellent customer service skills.
  7. Excellent verbal, written, interpersonal, organizational, and public speaking skills.
Qualifications, Education, and Experience:
  1. At least 18 years of age.
  2. Minimum of High School Diploma or GED required.
  3. Capable of conducting presentations to small-large audiences.
  4. Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
  5. Must have reliable transportation and possess and maintain a valid driver’s license, a satisfactory driving record, including proof of personal vehicle insurance coverage and insurability under the Agency’s insurance carrier standards.
Work Environment and Physical Demands:
  1. Work in an office setting with occasional travel to other locations in El Paso County.
  2. Sit, stand, walk, bend, kneel and uses hands, arms and legs for dexterity, balance and climbing stairs frequently. Must be able to sit for prolonged periods of time.
  3. Occasionally lifts, carries and balances objects weighing up to 30 pounds.
  4. Pulls and pushes such objects as file drawers and supplies.
  5. Prioritizes and multi-tasks work and projects requiring good memory, concentration and analytical thinking.
  6. Occasionally is required to perform the safe operation office equipment and machines and recognize and abate safety hazards within the workplace.
  7. Must be able to hear, see including peripheral vision and distinction of colors, read and communicate verbally and in writing frequently with a wide range of people from divergent socio-economic and cultural backgrounds and origins.
Tools and Equipment Used: Standard office equipment and machines such as telephone, office laptop, tablet, and multi-function copy machine.
