Provides key administrative support to the accounting and project management teams by handling routine reporting, documentation, and compliance tasks. This role is designed to ensure consistent workflow and the timely and accurate execution of project related financial tasks. The ideal candidate is detail-oriented, organized, and capable of managing tasks independently with minimal supervision.
Key Responsibilities:
Administrative Support & Workflow Management
Monitor and assist with tracking insurance certificates from subcontractors and vendors, ensuring timely follow-up and compliance.
Maintain and update project logs, billing trackers, and status reports.
Organize digital and physical project files, ensuring documentation is complete and properly filed.
Support monthly billing processes by assembling backup documents and ensuring documentation is ready for submission.
Task Delegation & General Assistance
Handle recurring and time-sensitive tasks that can be delegated from the Accounting team to maintain workflow continuity.
Prepare contract summaries, invoice logs, and other basic reports as needed.
Support internal follow-ups with Project Managers on missing paperwork or upcoming deadlines.
Data Entry & Systems Support
Enter job cost data, invoices, insurance dates, and other key project information into the accounting or project management system.
Assist in tracking lien waivers, W-9s, vendor forms, and other compliance-related items.
Help maintain internal tracking tools to ensure key information is accessible and up to date.
Responsible for accurate data entry of certified payroll reports into LCPtracker, ensuring compliance with prevailing wage requirements and project reporting standards.
Qualifications:
Bachelor’s degree in Accounting, Business Administration, or Construction Management preferred.
1–3 years of administrative or accounting experience, preferably in the construction industry.
Proficiency in Microsoft Excel, Word, and Outlook.
Familiarity with Sage 300 CRE, Procore, or similar construction software is a plus.
Strong attention to detail and excellent organizational skills.
Ability to handle multiple tasks, meet deadlines, and maintain confidentiality.
Ideal Candidate:
