Summary: Under the supervision of the RRS Senior Director, the Refugee Generalist is responsible for assisting with the Closeout of all Safe Passages, Home Study and Post Release Services (HS/PRS) program client case files since its conception. Follow the guidance provided on records management practices per federal rules & regulations. Prepare clients records to be turned over to the ORR Records Management (RM) Team due to program closure. Coordinate the transfer of UAC Records from the operational program site and move to the Federal Records Center, for the RM Team to assume custody of records upon site closure.
Position Responsibilities:
*Knows how to retrieve client data and reports in UC Portal and/or MRIS.
*Ensures that each case file contains all required documents outlined on the Case File Checklists.
*Ensures that proper referrals were made to appropriate internal and external service programs.
*Reviews and maintains accurate and up-to-date client files, including: intake, assessments, filing and other required paperwork.
*Ensure that the HS/PRS Program Closure Checklist is followed for case file transfer purposes.
Completes weekly schedule, bi-weekly time sheets and monthly mileage, etc.
Ensures effective communication with program staff, peers and agency leadership.
Ensures services are delivered in accordance with agency culture, mission, vision, and values.
Must be sensitive to the service population’s cultural and socioeconomic characteristics.
Adhering to safety training and protocols on a daily basis, and taking precautionary Adhering to safety training and protocols on a daily basis, and taking precautionary measure to ensure the safety and well-being of self, others.
Responsible for protecting the confidentiality of any information or material obtained in the service with the organization to include but not limited to client names and information, services rendered to clients, donors names and gifts, internal and external investigations or results of any investigations, and financial information.

Minimum Qualifications:
Education
Bachelor’s degree preferred but not required; or equivalent of 2 – 4 years’ experience in a social service environment that demonstrates a sensitivity and appreciation for diverse cultural populations.
Bilingual skills in a common client language are preferred but no required.
License and Credentials
Reliable transportation
Valid driver license; Valid vehicle insurance
Must have clean driving record
Currently cleared a criminal background check (both federal and state), within the past 5 years and can provide a copy.
Currently cleared a Child Abuse and Neglect (CA/N) check, within the past 5 years and can provide a copy.
Has completed ORR’s required 40 hours of training for HS/PRS program, and can provide proof.
Minimum Knowledge and Skills:
Knowledge of Federal Contracts and Grants. (Specific knowledge of HS/PRS – ORR Federal Grant).
Knowledge of Program Manuals and Operational Guidelines. (Specific knowledge of HS/PRS – ORR POM).
Knowledge of client files documentation and record keeping. (Specific to UAC HS/PRS).
Skilled in using personal computer, various software, email and internet.
Must have clean driving record.
A solid grasp of file documentation and record keeping.
Knowledge of the use of Drop Box for uploading and transferring case files.
Must be detail oriented, organized, self-motivated, work well independently and on a team.
Must have good written and verbal skills.
